The Chief of Staff serves as a strategic partner and operational right hand to the Chief Executive Officer. In a small hospice environment, this role bridges leadership and frontline operations — ensuring the CEO's priorities are translated into action, that key initiatives stay on track, and that the organization operates with the rhythm and discipline needed to deliver exceptional patient- and family-centered care. The Chief of Staff is a trusted generalist who combines sharp analytical thinking with strong relational skills, thriving in the ambiguity that accompanies organizational growth and change.

Requirements

  • Bachelor's degree in healthcare administration, business, or a related field.
  • Minimum 5 years of progressive experience in healthcare operations, strategy, or executive administration.
  • Demonstrated ability to manage complex projects across multiple stakeholders.
  • Strong written and verbal communication skills; ability to draft board-quality documents.
  • Proficiency with CRM systems, project management tools, and Microsoft Office Suite.
  • High degree of discretion, integrity, and emotional intelligence.

Nice To Haves

  • Experience in hospice, home health, or post-acute care settings.
  • Familiarity with Medicare/Medicaid hospice regulations and survey readiness.
  • Experience with EMR systems, particularly HCHB (Homecare Homebase).
  • MBA or MHA, or equivalent graduate-level education.
  • Prior experience in a high-growth or turnaround organization.
  • Experience managing provider credentialing, payer enrollment, or accreditation processes.
  • Background in healthcare marketing, brand management, or referral-focused communications.
  • Familiarity with commercial and office lease administration, including multi-site portfolios.

Responsibilities

  • Serve as a thought partner to the CEO on strategic priorities, organizational decisions, and key communications.
  • Prepare the CEO for meetings, board presentations, and external engagements — including briefing materials, talking points, and follow-up tracking.
  • Manage the CEO's time and attention by triaging issues, delegating where appropriate, and ensuring focus on highest-value activities.
  • Draft and refine executive communications including staff announcements, board memos, and stakeholder updates.
  • Own cross-functional project management for strategic initiatives — tracking milestones, surfacing risks, and holding owners accountable.
  • Build and maintain operating cadence: leadership meeting agendas, weekly priorities, and decision logs.
  • Identify organizational bottlenecks, redundancies, and gaps; recommend and implement solutions.
  • Serve as an integrator between clinical, administrative, and business development functions.
  • Support the development and tracking of the admissions pipeline, including coordination with referral source development activities.
  • Assist in standing up sales infrastructure — including CRM implementation, activity reporting, and territory management.
  • Monitor admissions metrics and prepare performance dashboards for CEO and board review.
  • Champion organizational culture and serve as a visible, accessible member of the leadership team.
  • Support onboarding of new leaders and integration of new team members into the executive function.
  • Facilitate difficult conversations across functions by providing objective framing and mediation support.
  • Coordinate all-staff communications, town halls, and recognition initiatives.
  • Own the hospice's brand identity — ensuring consistency across all external materials, digital presence, and community touchpoints.
  • Develop and execute marketing initiatives that support referral growth, community awareness, and organizational reputation.
  • Manage or oversee the production of collateral, website content, social media, and event presence in coordination with clinical and BD teams.
  • Track marketing spend and ROI; present regular updates to the CEO and leadership team.
  • Serve as the primary point of contact for any external marketing or design vendors.
  • Oversee the credentialing and re-credentialing process for offices, ensuring timely completion and accurate record-keeping.
  • Coordinate with payers for provider enrollment and maintain enrollment status across Medicare, Medicaid, and commercial contracts.
  • Serve as the organizational point of contact for credentialing bodies, state licensing boards, and accreditation agencies.
  • Build and maintain a credentialing calendar to proactively manage expiration dates, renewals, and compliance deadlines.
  • Manage the organization's real estate portfolio, including office leases, equipment leases, and vendor service agreements.
  • Track key lease terms, renewal windows, and landlord obligations; surface risks and opportunities to the CEO in advance.
  • Coordinate facility needs assessments as the organization grows.
  • Serve as the internal liaison with legal counsel on lease negotiations, amendments, and new site agreements.
  • Coordinate board meeting logistics, including agenda preparation, material compilation, and minute review.
  • Track board action items and ensure timely follow-through.
  • Maintain governance calendar and support compliance with regulatory or accreditation requirements.
