Chief of Staff - Dream Office of Imaginary Friends

Prime Executive OfficeNew York, NY

About The Position

Sharon Chang is an artist, founder, and investor whose work sits at the intersection of creative practice, social impact, and experimental project development. She convenes collaborators across disciplines (artists, technologists, advisors, and builders) to explore ideas that range from intimate inquiries to ambitious ventures designed to shape more beautiful futures. Her office, Dream Office of Imaginary Friends (DOIF), was first envisioned to be a hybrid of family office and art studio. Over time, it organically evolved into an ecosystem of projects and resources to support Sharon’s pursuit in building more beautiful futures. This ecosystem is both creative and operational, fluid and complex. The Chief of Staff plays a central role in making it coherent, functional, and forward-moving. Sharon works at a measured, non-linear pace and values the process as much as the outcome. This requires a Chief of Staff who can move fluidly between intensity and stillness by bringing both structure and softness to the role. Some projects are audacious and expansive; others are intimate and near invisible. Together, they form a landscape that is dynamic, unconventional, and deeply personal.

Requirements

  • Ability to translate abstract concepts into cohesive strategies.
  • Capability to continue conversations, relationships, and lines of thinking independently.
  • Skill in discerning project intensity versus stillness.
  • Ability to provide thoughtful, grounded pushback.
  • Capacity for rapid problem-solving under pressure and crisis management.
  • Experience in ensuring alignment across multiple entities and functions.
  • Strong coordination and communication skills to establish clarity across teams and external partners.
  • Ability to act as a primary point of contact and communicate intent clearly, even in ambiguous phases.
  • Proficiency in knowledge management and organizing resources.
  • Leadership and management skills for a small team (personal assistant, administrative assistant/office manager, studio assistants, project managers).
  • Ability to lead projects from concept through completion, ensuring consistent progress.
  • Proactive approach to driving initiatives forward and navigating ambiguity with sound judgment.
  • Strong relationship stewardship skills, balancing professionalism, discretion, and warmth in high-net-worth and creative environments.
  • Ability to seamlessly move between personal, operational, and creative domains.
  • Commitment to a high standard of excellence in all outputs.
  • Ability to move fluidly between intensity and stillness, bringing both structure and softness to the role.
  • Trusted extension of Sharon’s thinking and decision-making.
  • Ability to create clarity, structure, and accountability in an ecosystem.
  • Skill in significantly reducing personal and operational noise.
  • Capability to ensure projects move forward consistently without constant input.
  • Aptitude for implementing systems that create order, visibility, and continuity.

Responsibilities

  • Act as a dedicated sounding board for Sharon’s evolving ideas, helping to translate abstract concepts into cohesive strategies while honoring their original spark.
  • Continue conversations, relationships, and lines of thinking independently; moving ideas forward rather than simply relaying them.
  • Discern when a project requires "intensity" (rapid execution) versus "stillness" (incubation), serving as the guardian of Sharon’s creative focus.
  • Provide thoughtful, grounded pushback when appropriate.
  • Serve as the first line of defense for urgent matters. You are the "cool head" capable of rapid problem-solving under pressure, resolving issues before they disrupt the ecosystem.
  • Ensure alignment across DOIF, Yoxi, and other entities; bridging creative work, operational infrastructure, and personal priorities into a cohesive system.
  • Establish and maintain clarity on who is doing what across the team and external partners.
  • Act as the primary point of contact for a diverse global network of artists, collaborators, and advisors.
  • Ensure that Sharon’s intent is communicated clearly, even when the project is in its most "illegible" phase.
  • Capture and organize the wisdom and resources generated within the ecosystem, ensuring that insights from one project flow naturally into the next.
  • Manage and develop the daily activities of a team of 2 (personal assistant and administrative assistant/office manager) providing real-time coaching and feedback to ensure operational excellence.
  • Oversee studio assistants and project managers when applicable.
  • Lead projects from concept through completion, ensuring consistent progress even when direction is evolving or capacity is limited.
  • Step in to drive initiatives forward when Sharon cannot, or should not, be in the details, maintaining continuity and forward movement across all active workstreams.
  • Navigate ambiguity without defaulting to waiting for direction; proactively identify next steps and move work forward with sound judgment.
  • Manage key partnerships with a balance of professionalism, discretion, and warmth—understanding both high-net-worth dynamics and creative environments.
  • Seamlessly move between personal, operational, and creative domains while maintaining alignment, continuity, and quality across all areas.
  • Ensure all outputs, whether operational or creative, meet a high bar for quality, detail, and aesthetic alignment.
  • Oversee the day-to-day rhythm of Sharon’s private life, ensuring her environment supports both her professional output and her personal restoration.
  • Provide high-level oversight of Sharon’s residences and studio spaces. This includes managing household staff, capital improvements, and ensuring these environments reflect Sharon’s aesthetic.
  • Coordinate with personal specialists, trainers, or wellness practitioners to prioritize Sharon’s well-being, managing the logistics that allow for a "measured pace."
  • Handle highly sensitive personal matters, from private administration to confidential requests, with the highest level of grace, urgency, and anonymity.
