About The Position

The Chief of Staff to the Chief Operating Officer (COO) will support the COO in executing the operational priorities for Heartshare. The role is responsible for driving operation projects and cross-functional initiatives, improving operational effectiveness, and ensuring alignment with strategic goals and priorities.

Requirements

  • Bachelor’s degree.
  • Five (5) years of experience in project management or similar role supporting executive leadership.
  • Experience in planning and leading strategic initiatives.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Office Suite (Outlook, Excel, PowerPoint) skills.
  • Experience using project management tools.
  • Must be detail-oriented and highly organized.

Responsibilities

  • Strategic Planning and Execution Partner with the COO and senior leadership to advance organizational strategic priorities and initiatives within operations.
  • Assist in identifying critical operational issues, risks, and potential roadblocks to achieve strategic goals.
  • Work collaboratively with COO direct reports and other leaders to track and monitor the progress on department specific priorities, ensuring accountability and timely execution.
  • Lead and manage complex, cross-departmental projects on behalf of the COO, including coordinating with internal stakeholders, defining scope, timelines, deliverables, and success metrics.
  • Support business development efforts for new initiatives and program expansions, tracking milestones, identifying risks, and ensuring timely resolution of barriers.
  • Assess current operating environments and identify opportunities to improve systems and workflows.
  • Identify new and emerging technologies that will streamline processes and optimize productivity across the division.
  • Build partnerships with executive leaders to support operational alignment and implementation of new strategies.
  • Assist the COO in ensuring department level objectives, goals, and KPIs are met.
  • Provide support with preparing high level insight, analysis and recommendations on organizational performance to executive leadership.
  • Schedule meetings and prepare materials and briefings for executive level audiences, including the Board of Directors and executive leadership.
  • Attend meetings with the COO to record minutes and communicate action items.
  • Respond to inquiries and attend meetings as needed on behalf of the COO to ensure continuity and clarity in decision making.
  • Maintain confidentiality, provide clear and consistent communication, and perform in a manner that reflects and advances the mission and values of Heartshare.
  • Undertake special projects, initiatives, and additional duties as assigned by the COO and/or President & CEO.
