GENERAL PURPOSE FOR JOB: The Charitable Gift Planning Relations and Marketing Coordinator supports the Northern New England Division charitable gift planning program and the collective Community Relations and Development team. Working collaboratively in support of the Director of Planned Giving, the Coordinator advances divisional planned giving strategies and initiatives through coordinated marketing, donor cultivation, and administrative execution. Areas of focus include Charitable Gift Planning, Marketing, Donor Cultivation and stewardship, and Regulatory Compliance. The Coordinator plays a critical role in strengthening donor relationships, enhancing operational excellence, and ensuring adherence to applicable charitable gift regulations while contributing to the overall growth and sustainability of the Division’s planned giving program.

Requirements

  • Bachelor's degree in related field and three to five years related experience; or equivalent combination of education and experience.
  • Previous knowledge of charitable gift planning, gift vehicles, marketing channels, and donor cultivations and stewardship strategies in relation to the overall resource development program.
  • Prior experience with Salesforce or similar constituent relationship management software
  • Some experience with Crescendo or PG Calc for use in illustrations and marketing
  • Proficiency with Microsoft Office suite, Windows Platform and Adobe is preferred
  • Exceptional customer service and communications skills (written and verbal) for managing relationships with donors, attorneys, financial advisors, and Salvation Army Officers
  • Demonstrated ability to work collaboratively on a team
  • Time management, customer service, and marketing skills are essential

Responsibilities

  • Charitable Gift Planning Marketing Coordinate and manage various aspects of charitable gift planning and marketing initiatives within the NNE Division.
  • Develop strategies to promote planned giving opportunities, cultivate relationships with donors, and ensure the successful implementation of charitable gift planning programs.
  • Assist in the development of marketing materials that accurately represent charitable giving vehicles and comply with applicable legal and ethical standards.
  • Donor Pipeline Interact by phone and email with donors, vendors, and estate planning professionals.
  • Track donor responses to marketing appeals, print and digital advertising, and surveys.
  • Triage and respond to donor/prospect inquiries; set follow-up tasks.
  • Integrate direct mail, major gifts, planned giving, and corporate/grant relations by managing timelines and donor/prospect lists.
  • Maintain accurate records of all donor/prospect touchpoints including marketing responses, gifts/pledges, event participation, holidays/birthdays, and estate planning illustrations.
  • Database Input and extract donor data; stay abreast of database updates (Salesforce).
  • Conduct monthly review of bequests from estate database (Lotus Notes).
  • Communicate weekly with Territorial Headquarters (SharePoint, Microsoft Teams).
  • Run illustrations for charitable gift annuities using PG Calc software.
  • Assist in preparation and distribution of weekly e-newsletters.
  • Ensure data integrity and confidentiality with Salvation Army policies and donor privacy standards.
  • Events In collaboration with the Director of Gift Planning, manage and curate the annual estate planning webinar (technology support, RSVPs, set-up, marketing).
  • Work with members of the Community Relations and Development team to implement donor receptions and special events.
  • Assist in preparation of invitations, programs, RSVPs, name tags, and table materials for gift planning events.
  • Coordinate stewardship activities for charitable gift planning donors.
  • Coordinate mailings and marketing efforts to engage donors effectively.
  • Compliance and Regulatory Awareness Keep abreast of IRS charitable gift substantiation requirements, including acknowledgment language, receipting standards, and disclosure obligations.
  • Monitor and remain informed of changes to United States federal tax statutes and regulations impacting charitable giving vehicles, including but not limited to charitable gift annuities, bequests, trusts, and qualified charitable distributions.
  • Support adherence to Salvation Army territorial and national policies regarding charitable gift acceptance and compliance.
