About The Position

New Position in our Mental Health and Wellness Clinic for a Certified Medical Assistant - CMA.  This role will coordinate mental health care with precision and compassion—ensuring seamless treatment access while supporting both clinical and front-office operations. Monday - Friday, 7:30 am - 4:00 pm  (40 hour per week) Full-time benefits include: IPERS, Health, Vision, Dental, Life Insurance and Long Term Disability.  PTO accrual begins on first day of hire. The Mental Health CMA is responsible for overseeing specialty mental health medications and treatment modalities in the outpatient clinic, ensuring patients receive timely and uninterrupted treatment through effective management of prior authorizations, communication, compliance, and coordination among care teams and insurers. In addition, this role assists providers with both front-office and back-office duties in the clinic. As a vital member of the clinic team, the position works under the direction of the healthcare providers while collaborating closely with clinical staff. Responsibilities include performing a variety of clinical and administrative functions that require knowledge of standards, resources, and data, as well as the use of discretion, sound judgment, decision-making, and strong customer service skills. The role also requires flexibility to rotate between registration and rooming duties with minimal supervision.

Requirements

  • Graduate of an accredited Medical Assistant program
  • Knowledge of medical terminology
  • Familiarity with health system electronic medical records (EMR)
  • Exceptional customer service skills and professional phone etiquette
  • Experience managing multiple workflows in a fast-paced environment
  • Strong organizational skills to ensure efficient and timely patient flow

Nice To Haves

  • Experience with insurance prior authorizations and benefits verification preferred
  • Experience in a mental health setting or at least one year in family practice, urgent care, or a related field preferred but not required

Responsibilities

  • Greets, registers, and assists patients in person or by phone, including insurance verification and scheduling support
  • Triages incoming calls, including responding to crisis-related situations in accordance with established protocols.
  • Prepares and rooms patients; collects medical histories, vital signs, and visit information
  • Primarily coordinates specialty mental health medications and treatments, including prior authorizations and communication with providers, pharmacies, and insurers to ensure timely patient care
  • Supports providers during exams and treatments, including specimen collection, medication administration, and prescription coordination
  • Educates patients on medications, treatments, and care instructions as directed by the provider
  • Maintains accurate and timely documentation of patient records and billing information; processes payments and assists with account corrections
  • Completes assigned patient, billing and referral work queues
  • Ensures clinic readiness by managing supplies, equipment, and patient charts
  • Prepares and maintains treatment areas in accordance with safety and infection control standards
  • Maintains compliance with safety, confidentiality, regulatory, and accreditation standards
  • Communicates effectively with patients, providers, and healthcare team members to support coordinated care
  • Participates in training, performance improvement activities, and ongoing professional development; may assist in training new staff
  • Demonstrates flexibility by rotating clinical (rooming) and administrative (registration) duties as needed
