About The Position

The Executive Assistant to the Chief Executive Officer provides high-level administrative, strategic, and operational support to the CEO and senior leadership team. This role serves as a key liaison between the CEO, Board of Directors, leadership, staff, and external partners. The Executive Assistant manages confidential communications, executive scheduling, board materials, reporting, and special projects while ensuring professionalism, efficiency, and compliance within a healthcare environment. This role requires exceptional discretion due to routine access to confidential executive, employee, and patient information, along with strong organizational skills and the ability to manage competing priorities in a fast-paced environment.

Requirements

  • High school diploma or GED required
  • Minimum of five (3) years of administrative or related experience
  • Proficiency with Microsoft Word, Excel, Outlook, Power Point, Excel, and electronic medical record (EMR) systems
  • Exceptional organizational, communication, and interpersonal skills
  • High level of professionalism in handling sensitive and confidential information
  • Strong attention to detail and ability to manage confidential information
  • Ability to prioritize tasks and work independently with sound judgment
  • Professional demeanor with strong ethical standards
  • Ability to remain calm and effective in high-pressure situations
  • Ability to work more than 8 hours per day or 40 hours per week as needed
  • Ability to lift up to 25 pounds and perform routine office physical activities
  • May be exposed to infectious diseases due to healthcare environment
  • Valid driver's license, reliable transportation, and auto insurance required

Responsibilities

  • Serve as the primary administrative support to the CEO, including coordination of schedules, meetings, and executive priorities
  • Prepare materials, reports, presentations, and data for Board of Directors meetings and community engagements
  • Attend meetings, record minutes, and track follow-up action items
  • Act as a liaison between the CEO, Board members, leadership team, and external partners
  • Assist with special projects and initiatives to improve organizational effectiveness
  • Compile daily, weekly, and monthly operational reports and key performance dashboards
  • Utilize agency software systems to generate discharge, compliance, and operational reports
  • Handle sensitive patient, employee, and organizational information with strict confidentiality
  • Ensure compliance with healthcare regulations and internal policies
  • Manage incoming calls, visitors, and correspondence
  • Maintain meeting room reservations and executive calendars
  • Provide backup administrative support to other office staff as needed
  • Draft, proofread, and edit executive correspondence, reports, and presentations
  • Prepare and distribute the agency's monthly newsletter
  • Send monthly HHCAHPS and CAHPS reports and process patient satisfaction survey comments
  • Assist HR with onboarding paperwork and processes
  • Submit background checks for staff and volunteers at required intervals
