About The Position

The Centralized Staffing and Scheduling Coordinator at Mercy Health is responsible for managing scheduling, staffing, and timekeeping for designated work areas. This role involves creating and editing schedules, filling open shifts, and mobilizing staff for daily needs, particularly those that arise with less than 24 hours' notice. The coordinator will utilize an electronic staffing system and must communicate effectively with various stakeholders and leaders to ensure optimal staffing levels and unit efficiency.

Requirements

  • Associates Degree in Business, Data Management, or a related field (preferred).
  • 2 years' experience with staffing/scheduling software in a healthcare setting (required).
  • Strong organizational skills.
  • Ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Customer service orientation.
  • Analytical skills for problem-solving and decision-making.
  • Teamwork and stakeholder engagement capabilities.
  • Proficiency in scheduling software and Microsoft Office Suite (Excel, Word, Teams).
  • Experience with Kronos and project management.

Responsibilities

  • Create and edit schedules for nursing departments in the electronic scheduling system following hospital policies and guidelines.
  • Prepare accurate daily and/or shift work schedules in collaboration with nurse managers.
  • Approve or deny schedule requests based on skill mix and unit needs, communicating with unit managers as necessary.
  • Balance and publish schedules at the end of the self-scheduling period to ensure coverage for unit efficiency.
  • Adjust schedules to accommodate needs by acquiring additional personnel or reducing scheduled staff.
  • Determine complex department staffing needs within 24 hours of shift time and arrange appropriate coverage.
  • Manage unplanned shift vacancies and evaluate market staffing needs for recruiting associates for open shifts.
  • Maintain daily schedules within the electronic staffing system and communicate critical staffing needs to nurse managers.
  • Approve or deny timecard requests and prepare timecards for manager approval.
  • Maintain staffing-related records, files, and reports, distributing them to appropriate leaders as needed.
  • Assist with allocation of agency resources and perform other duties as assigned.
