About The Position

The Centralized Scheduler position is responsible for managing patient scheduling across the healthcare system, ensuring efficient coordination of appointments, tests, and procedures as ordered by physicians. This role requires strong communication skills and the ability to provide excellent customer service in a fast-paced environment. The scheduler will also handle insurance information and compliance checks to ensure coverage for appointments, all while maintaining a professional demeanor and adhering to departmental guidelines.

Requirements

  • High school diploma, GED, or higher education required.
  • 3-5 years of experience in a healthcare setting preferred.
  • Ability to read, analyze, and interpret order requests and necessary documents.
  • Effective verbal and written communication skills.
  • Ability to define problems, collect data, and draw valid conclusions.
  • Strong attention to detail and ability to prioritize and multi-task.
  • Excellent customer service skills in a fast-paced environment.
  • Exceptional organizational and time management skills.

Nice To Haves

  • Experience with electronic health records (EHR) systems.
  • Knowledge of medical terminology.
  • Familiarity with insurance verification processes.

Responsibilities

  • Receive and initiate calls to/from patients, providers, and facility departments.
  • Schedule appointments from basic to complex levels.
  • Answer multi-line phone calls and assist with indexing electronic faxes.
  • Accurately collect insurance information and patient personal data.
  • Perform financial clearance responsibilities for scheduled appointments.
  • Practice attentive and active listening to accomplish scheduling duties.
  • Effectively communicate with patients regarding appointments and instructions for procedures and tests.
  • Ensure the highest quality of care by facilitating efficient daily scheduling.
  • Identify alternative scheduling solutions when patient preferences are unavailable.
  • Build customer loyalty through positive interactions and consistent patient experiences.
  • Document pertinent patient medical and financial information according to procedural guidelines.
  • Collaborate with the Patient Access Department to ensure financial requirements are met prior to patient arrival.
