About The Position

Rainbow Community Care is highly regarded for excellence in hospice, palliative, and guided care and invites you to join in our mission of enhancing lives throughout aging, illness, and loss. Rainbow Community is currently seeking a Centralized Scheduler to support both home hospice and our inpatient center. The Centralized Scheduler serves as the operational hub ensuring timely coverage in response to call-ins, staffing gaps, and periods of high patient acuity. This role is also responsible for purchasing and maintaining inventory of supplies and medical equipment for the clinical department at each of our office locations (Beaver Dam, Jefferson and Johnson Creek).

Requirements

  • Valid Wisconsin driver’s license and proof of current car insurance are required upon hire and must be maintained throughout employment. Must be able to drive to and from meetings and other office locations as necessary for your role.
  • High school diploma or equivalent.
  • Minimum of 1–2 years of scheduling, administrative, or coordination experience, preferably in a hospice, home health, or inpatient healthcare setting.
  • Strong computer skills, including EMR and scheduling software, Microsoft Outlook, Teams, and other electronic communication tools.
  • Ability to generate and interpret basic scheduling and utilization reports.
  • Must be able to maintain healthy boundaries and positive interpersonal relationships.
  • Must be tactful and courteous in communication with others, whether in-person, by phone, or in writing.
  • Must act with integrity and demonstrate good work ethics including reliable attendance and punctuality.
  • Excellent organizational skills with the ability to prioritize competing demands.
  • Ability to remain flexible, solution-focused, and calm during periods of high patient acuity.
  • Comfort managing real-time schedule changes, staff call-ins, and high-acuity adjustments within electronic systems.
  • Ability to adapt quickly to changing clinical needs.

Responsibilities

  • Coordinate and maintain schedules for staff, including nursing, CNAs, social workers, chaplains, bereavement staff, and the inpatient center.
  • Respond promptly to staff call-ins, unexpected absences, emergency staffing and surges in patient acuity by adjusting schedules to ensure uninterrupted care.
  • Act as a liaison between field staff, inpatient staff, and leadership to communicate schedule changes clearly and efficiently.
  • Serve as the primary contact for scheduling-related inquiries from clinical teams, leadership, and internal departments.
  • Acts in a support role for clinical managers.
  • Communicate schedule updates, coverage needs, and urgent changes.
  • Provide calm, professional, and compassionate communication in fast-paced or high-stress situations.
  • Accurately document schedules in scheduling systems.
  • Maintain strict confidentiality and comply with HIPAA and hospice regulatory requirements.
  • Assist with reporting related to staffing utilization and scheduling efficiency.
  • Maintains adequate inventory of supplies and medical equipment for all office locations in tandem with inpatient center supply management.
  • Collaborates with clinical managers and other nursing staff as needed to ensure that adequate amount and type of supplies are available based on patient need and census.
