Requirements

  • Required to obtain RBT certification within 90 days of hire; prior RBT experience preferred but not required.
  • High school diploma or equivalent (relevant college coursework preferred).
  • On-site role, requiring flexibility in hours based on center needs. Availability to provide support during after-school hours will be required on multiple occasions, though not every day.
  • Must be comfortable navigating between administrative responsibilities and hands-on support.
  • Strong organizational, time management, and leadership skills.
  • Comfortable working in a dynamic environment with shifting priorities.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Proficient in Google Workspace (Docs, Sheets, etc.) and basic tech troubleshooting.
  • Passion for creating a supportive and engaging environment for both staff and learners.
  • Demonstrated leadership or managerial experience, including the ability to creatively solve problems, address operational barriers, and provide clear, constructive performance feedback.
  • Ability to work independently with minimal day-to-day supervision, exercising sound judgment, taking initiative, and proactively identifying and resolving issues.

  • Prior office management experience is strongly preferred.

Responsibilities

  • Team Management & Leadership: Supervise Senior Leads and Leads; conduct monthly fidelity checks. Approve activities and outings beyond regular schedules in collaboration with the CD. Approve and manage monthly purchase requests; prioritize budget based on daily necessities, learner needs, and activity supplies. Oversee scheduling adjustments and station changes; work with Senior Leads on team needs. Delegate tasks to Senior Leads and Leads effectively. Lead monthly Senior Lead training/meetings; coordinate topics with BCBA and leadership team. Schedule and train new leads or delegate training tasks; hold quarterly Lead meetings. Maintain consistent communication with staff, fielding questions and resolving issues. Write and submit CA forms in consultation with the CD after unresolved verbal warnings.
  • Operational Oversight: Maintain ongoing communication and collaboration with the BCBA team to ensure center operations (e.g., rotations, pod organization, materials) effectively meet learners’ clinical needs, incorporating feedback and making necessary adjustments. Manage center supplies: Ensure all essential items (e.g., paper, ink, cleaning products, tech devices) are stocked. Maintain and organize field kits; track assigned kits and replenish as needed. Approve purchase requests; source budget-friendly options for items when necessary. Handle daily operational duties: assist in crises, help with cancellations, manage tech, support document scanning/printing, and direct staff inquiries. Oversee the security of supplies and access (e.g., locked cabinets, keys, front doors). Track and maintain devices such as AirPods, chargers, and iPads.
  • Payroll & Admin: Approve and report payroll for Senior Leads and Leads weekly by 9:30 AM Monday. Assist in daily documentation, scheduling, and feedback communication.
  • Center Maintenance & Facilities: Submit and follow up on maintenance requests with the Facilities Manager. Monitor and report plumbing, HVAC, and cleaning concerns. Support in assembling furniture and other center equipment as needed. Ensure center cleanliness; manage bi-weekly laundry and deep cleaning coordination. Conduct required safety drills, such as fire and evacuation drills, in accordance with center protocols (as needed).
  • Social Media & Engagement: Submit weekly content to the RC account (30 mins/week). Ensure learner confidentiality by blurring faces when needed. Provide photo updates with short captions or summaries.
  • Enrollment & Communication: Update POD tracking tab and communicate new learner info to the team. Create and update learner name tags. Provide backup coverage of Care Coordinators’ responsibilities during their absence, including communicating with families and managing scheduling as occasionally needed.
  • Special Projects & Culture: Maintain the Possibilities Store; restock items based on team and learner interests. Distribute staff reinforcement items (swag). Rotate toys with Sr. Lead and maintain engaging learning/play environments.
  • Other: Perform other duties or projects as assigned.
