About The Position

This position serves as an active member of the Center for Learning and Teaching (CLT) Team responsible for creating a welcoming environment; greets visitors; answers phones; provides technical support; serves as point of contact for training enrollments and maintains related records; handles inventory control; cleans up conference rooms; handles all room reservations; provides support for all event planning needs; facilitates departmental travel, creates all requisitions, tracks and reconciles the budget; maintains CLT files and calendars; assists the CLT Director and other team members as needed.

Responsibilities

  • Effectively interacts with and provides assistance to faculty, staff, students, and the public regarding the Center for Learning and Teaching operations and support.
  • Assists in the creation and maintenance of a welcoming, pleasant environment conducive to collaboration and efficient work production through all points of contact, including formal and informal verbal and written communications; and maintains positive relationships with all departments to ensure effective and efficient operation for the CLT.
  • Greets students, faculty, staff who come into the office; answers telephone and directs calls; distributes mail; handles all deliveries; responds promptly to emails.
  • Provides level one technology support; directs higher technical support needs to the proper staff member; provides Moodle orientations to students in-person and via Zoom; directs students to other departments for various needs; submits all support data for the CLT team; effectively communicates with team members, faculty, staff, and students.
  • Serves as the primary point of contact for all Ellucian Colleague needs; checks course codes before each semester by the deadline required; uses Colleague data to help with technical support as needed.
  • Works in cooperation with the CLT team as needed to provide support and assistance for the department and the CLT Director.
  • Submits repair tickets as needed for lighting, technical problems, etc. to Facilities and ITS; and cleans, tidies, and stocks all CLT areas as needed, including storage rooms, workstations, classroom, and conference rooms.
  • Facilitates and maintains scheduling of CLT learning and meeting spaces for departments across campus using Ad Astra; maintains the CLT's shared calendar and room calendars; assists the team with scheduling and bookings for services as needed.
  • Works with ITS to ensure CLT computers and other technology equipment are updated and maintained.
  • Submits and facilitates all Marketing and PR requests for the department in collaboration with the CLT Director; submits all final products for Director approval within the timelines provided.
  • Provides event planning support and communicates with Facilities, Catering, ITS, Marketing and PR, etc. about the various needs for Kick-Off Week, New Full-Time Faculty Orientation, training sessions, and any other CLT-sponsored events; works events as needed.
  • Supports the CLT's professional development projects and initiatives by handling all material needs including pickup and delivery; making copies and sign-in sheets; maintaining all enrollment, participation, and feedback data; creating and maintaining registration forms; handling micro-credential and certificate awards.
  • Creates purchase requisitions for all supplies, equipment, software, etc.; primary point of contact for Finance and Purchasing needs; communicates with outside vendors when necessary; monitors and maintains records of expenditures as needed; prepares budget reports and reconciliations for the CLT Director and Finance to assist in proper management and supervision of funds.
  • Assists the CLT Director and works with ITS and Legal as needed to renew educational technology platform and other software agreements.
  • Assists and facilitates the onboarding and material needs of new CLT team members.
  • Facilitates the completion of office inventory according to college procedures; facilitates furniture and equipment acquisition and assembly; handles all physical storage needs; adheres to proper inventory procedures; and facilitates surplus.
  • Serves as the records management representative; adheres to records management guidelines; maintains all CLT data, files, and SharePoint site; assists with data collection for HLC accreditation and other institutional needs.
  • Assists with special projects as needed by Academic Affairs and provides committee, meeting, and training support as requested by the CLT Director and other team members.
  • Maintains confidentiality in the handling of documents and information that flow through the office.
  • Assists with travel arrangements, including reconciliation of travel expenditures for the team according to college policies and procedures; uses databases or spreadsheets to enter, revise, calculate, and retrieve data for reports; and maintains knowledge of budget procedures.
  • Assists with the development and implementation of office procedures and practices that best meet the needs of the CLT team, faculty, and students.
  • Abide by the policies and procedures published in the Board of Regents Policies and College Policies & Procedures.
  • Contribute to a safe educational & working environment.
  • Adhere to established safety and health procedures and practices for the purpose of providing injury and illness prevention for self and others.
  • Complete quarterly health and safety training pursuant to OCCC's established safety and health procedures and practices.
  • Participate in all applicable OCCC emergency, evacuation, shelter in place drills, and be prepared to take action and assist others in taking appropriate action should a health or safety emergency occur.
