About The Position

The Wisconsin State Laboratory of Hygiene (WSLH) is the state's public and environmental health laboratory. As part of the University of Wisconsin-Madison, the WSLH is committed to exploring new ideas which benefit the state, the nation and the world. The WSLH Communicable Disease Division (CDD) provides essential laboratory support in accordance with the public health goals of the state and the Wisconsin Division of Health Services (WDHS), performing over 150 clinical diagnostic and surveillance tests in support of WDHS, Wisconsin clinical laboratories, other state and regional public health laboratories and the Centers for Disease Control and Prevention (CDC). We invite you to become a part of this leading public health laboratory’s CDD Support/Client Services team in the role of Administrative Supervisor. The Administrative Supervisor functions under the general supervision of the CDD Administrative Director, and supervises a team of approximately five public health microbiologists. The CDD Support/Client Services team includes Specimen Receiving, Customer Service, and Clinical Orders. CDD Support/Client Services team members are responsible for fulfillment of orders for clinical testing supplies, receiving and processing of specimens for clinical testing, providing customer service to our internal and external customers, and other tasks and projects as assigned. Customer service duties include but are not limited to, responding to questions, assisting with testing follow-up actions, investigating issues, preparing customer notifications. CDD Support/Client Services team duties require the ability to communicate in-person, by phone, and email. The Administrative Supervisor will work with the team, and rotate through, all areas of CDD Support/Client Services. Other responsibilities of the position include, but may not be limited to: Maintaining compliance with College of American Pathologist (CAP) and Centers for Medicare and Medicaid Services (CMS) accreditation requirements; Working with other CDD Supervisors to oversee and lead process improvement activities across all areas of the division; Participating in and coordinating the teaching and education of visiting scientists, fellows and students; Assisting with fiscal activities; Functioning as a public health liaison to statewide and national customers and representing the CDD at professional laboratory functions; Demonstrating personal commitment to delivering quality services and/or products; Taking immediate action to work with others cooperatively to remedy urgent situations. The employee in this position is expected to use the tools and principles of quality management in performing their daily work. Examples of this include, but are not limited to: Demonstrating exceptional customer service by establishing and maintaining effective professional relationships with managers, supervisors, co-workers, and external customers; Providing constructive feedback for the purpose of continuous improvement in a manner that is supportive of the Wisconsin State Laboratory of Hygiene and its public health mission; Using laboratory data collection and fiscal tools as appropriate, to drive public health laboratory action; Using effective team skills to contribute to the efficient operation of the work unit and CDD; Presenting ideas, carrying out assignments and providing information as required to assist CDD leadership decisions; Participating in continuous learning through personal and professional development activities. This position is on-site at 2601 Agriculture Drive, Madison, WI 53718. Work hours are 7:45 AM – 4:30 PM, Monday through Friday with Saturday work on a rotational basis . Occasional after hours, weekend or holiday work may be required in support of urgent or emergent public health needs of the organization. This position may need to respond on a rotational basis, to the 24/7 WSLH alert system for assessment and resolution of emergency response laboratory testing needs.

Requirements

  • WSLH clinical services are certified through the Clinical Laboratory Improvement Act (CLIA), and accredited by the College of American Pathologists (CAP). Candidate must meet 42 CFR § 493.1489 Standard; Testing Personnel qualifications, High Complexity Testing.
  • Must be able to visually distinguish colors. A color vision screening test is required prior to an offer of employment.
  • A minimum of 5 years of laboratory experience
  • Leadership experience with a team of 5 or more people
  • Exceptional interpersonal and communication skills – written, verbal, other.
  • Ability to analyze and interpret data, identify trends, and produce clear, data-driven recommendations.
  • Experience implementing or administering policies and procedures for regulatory compliance.
  • Work experience providing customer service.
  • Bachelor of Science degree in a chemical, biological, clinical or medical laboratory science or medical technology from an accredited institution, is required.
  • An official (or copy of an official) transcript showing conferred degree will be required as a condition of employment.
  • For degrees earned outside of the United States, proof of qualification equivalency is required and must be performed by a nationally recognized organization such as the National Association Credential Evaluation Services, Inc. (NACES) (http://www.naces.org) or the Association of International Credential Evaluators, Inc. (http://www.aice-eval.org).
  • Course by course review is required for candidates demonstrating ability to meet CLIA qualifications.
  • The candidate is responsible for all expenses related to acquiring and providing proof of qualifications.

Nice To Haves

  • Prior supervisory experience.
  • 1 or more years of laboratory experience in a public health laboratory.
  • 1 or more years of clinical laboratory experience, with high complexity testing in bacteriology, immunology, virology, mycology, parasitology, or other microbiology discipline.

Responsibilities

  • Exercises supervisory authority, including hiring, transferring, suspending, promoting, managing conduct and performance, discharging, assigning, rewarding, disciplining, and/or approving hours worked of at least 2.0 full-time equivalent (FTE) employees - 30%
  • Develops, schedules, and prioritizes unit or program work plans in accordance with specifications and resource limitations - 10%
  • Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions in support of the assigned operational work unit(s) - 10%
  • Implements and executes established policies and procedures for a designated work unit to adhere to unit objectives and to align with established strategies - 10%
  • Performs and rotates through all sub-departments of CDD Support – Client Services, including: fulfillment of orders for clinical testing supplies, performing specimen receiving and processing of clinical specimens for testing, providing customer service. - 20%
  • Assists, recommends, and advises staff, on unit or program administrative issues, personnel matters, and budgetary problems - 10%
  • Schedules logistics and secures resources for a designated work unit to contribute to the day-to-day operational success - 10%
