About The Position

The CCEC Grant Specialist is a non-exempt position responsible for providing detailed administrative, fiscal, and compliance support for all CCEC grant-funded programs. Working closely with the CCEC Department and Accounting, this role ensures that all grant activities are accurately tracked, properly documented, and fully compliant with federal, state, and private funding requirements. The Specialist will assist in preparing grant applications, maintaining records, monitoring expenditures, and submitting timely and accurate reports. This position plays a key role in ensuring the integrity of FIELD’s grant management processes and supporting the success of CCEC program objectives.

Requirements

  • Bachelor’s degree in Business, Accounting, Public Administration, or a related field.
  • Minimum of 2 years of experience supporting grant administration, accounting, or program compliance.
  • Strong attention to detail with the ability to organize, track, and manage multiple projects and deadlines.
  • Proficiency in Microsoft Excel, Word, Google Workspace, and database systems.
  • Excellent communication and writing skills with a focus on accuracy and clarity.
  • Ability to work effectively both independently and collaboratively with cross-functional teams.

Nice To Haves

  • Experience working with education, workforce development, or community-based programs.
  • Familiarity with federal and state grant regulations and reporting requirements.
  • Experience using accounting or ERP software for grant or budget tracking.
  • Knowledge of CCEC program operations or similar adult education initiatives.
  • Coursework or certification in grant management or funding compliance preferred.

Responsibilities

  • Coordinate day-to-day grant activities for CCEC programs, ensuring compliance with funder guidelines and organizational policies.
  • Collaborate closely with Accounting to track budgets, expenditures, and reimbursements; verify that all costs are allowable and properly coded.
  • Assist with grant proposal preparation, including gathering data, drafting sections of narratives, and supporting documentation.
  • Maintain organized and up-to-date grant files, including contracts, amendments, correspondence, and reports in accordance with audit and retention standards.
  • Prepare draft financial and narrative reports for review by CCEC leadership and submission to funding agencies.
  • Monitor grant timelines, deliverables, and reporting requirements to ensure all deadlines are met.
  • Support the reconciliation of monthly grant expenditures and review supporting documentation for accuracy.
  • Communicate with program staff to gather performance data, participant information, and outcomes for reporting purposes.
  • Assist in internal monitoring and compliance checks to identify and address potential issues early.
  • Participate in grant-related audits and monitoring visits as needed, preparing requested documentation and supporting evidence.
  • Update internal tracking tools, spreadsheets, and databases to monitor active grants and deliverables.
  • Maintain current knowledge of relevant federal and state regulations (e.g., 2 CFR 200) and apply them to daily grant operations.
  • Support CCEC and Accounting in developing standardized procedures and templates for grant tracking and reporting.
  • Perform other related duties as assigned to support the fiscal and programmatic integrity of the CCEC department.
