About The Position

The Casual Unit Clerk performs clerical and receptionist duties for various assigned nursing units. This role requires compliance with hospital policies and procedures, JCAHO standards, and current government regulations.

Requirements

  • High school diploma or equivalent.
  • One (1) year of administrative or clerical experience.
  • Basic computer knowledge and ability to operate standard office equipment.
  • Knowledge of medical terminology.
  • Proficient in Microsoft Office.
  • Excellent written and verbal communication skills.

Nice To Haves

  • Graduate of a Medical Assistant program or secretarial school.
  • CPR certification.

Responsibilities

  • Perform clerical duties related to patient care, including managing patient records, assembling packets for diagnostic studies, admissions and surgical procedures, retrieving old medical records, maintaining housekeeping lists, preparing alert bands, and organizing medical records.
  • Enter pending final discharge into SMS (INVISION) system.
  • Fax discharge instructions to the patient’s primary care physician after discharge and prepare IDT documents.
  • Notify monitor tech when a patient leaves the unit for a test/procedure.
  • Assist physicians by providing appropriate medical records, notifying nurses of physician presence, completing and forwarding requisitions and forms, scheduling diagnostic studies and surgery, signing orders, and providing resources regarding EMS (electronic medical record).
  • Prepare medical records by transcribing physician's orders, scheduling diagnostic studies and surgery, completing daily lab work, and notifying staff of STAT orders.
  • Prepare all reports, records, and permits as directed by the registered nurse, including placing lab, X-Ray, and other reports on patient's medical record and completing specific unit forms.
  • Perform SMS (INVISION) functions such as order entry, cancel, discontinues, discharge, consults, and work requests.
  • Act as receptionist for the nursing unit, greeting visitors, recording and relaying messages, answering telephones and intercom, placing calls, answering physician's pages, and responding to general inquiries.
  • Answer call lights, check incoming mail, and distribute it, and update white boards in patient’s rooms.
  • Attend in-services and other educational programs as required.
  • Attend and participate in staff meetings.
  • Determine areas of self-improvement and write developmental goals on performance appraisal.
  • Perform clerical duties related to departmental operations, including maintaining stock of clerical supplies, entering CPD and Pharmacy charges, entering maintenance work orders, maintaining departmental inventory, and managing beepers and daily assignment sheets.
  • Maintain an organized and clean nursing area, including cleaning the refrigerator.
  • Participate actively in the quality improvement program by collecting data for quality audits, quality logs, and environmental rounds.
