About The Position

CAPEX & PROCUREMENT MANAGER POSITION PROFILE The Capex & Procurement Manager is responsible for the physical stewardship and maintaining design & brand integrity of the Palisociety portfolio to ensure consistent visual and experiential standards across all hotel properties. This position entails identifying physical asset needs and executing capital expenditure (Capex) projects. This role will liaise and collaborate with members from the Operations & Design teams in the selection and execution of upgrades, refresh, and replacement needs at the property level. This individual serves as the brand aesthetics eyes for Palisociety, moving with high urgency to ensure operating properties remain visually compliant, physically well-maintained, and guest ready. Requirements

  • Ability to travel frequently between hotel locations, as needed
  • Ability to manage requests, tasks, and timelines with tact, grace, and style
  • Proficiency in Adobe Design Suite preferred
  • Administrative prowess
  • Proven experience in working on multiple projects at once
  • Strong organizational skills and be able to handle multiple projects simultaneously and meet deadlines consistently
  • Strong attention to detail and results-orientation
  • Proficiency in Microsoft Word, Excel, and Outlook; must be able to work with formulas in spreadsheets
  • Excellent written, verbal and management communication skills
  • Ability to collaborate and work effectively with other co-workers, departments, and business units
  • Motivated to generate results
  • Adaptable
  • 5-7+ years of related experience, including demonstrated success in hospitality design, hotel operations, procurement, or project managemenT
  • Must be able to lift up to 40 lbs
  • Must be able to bend, stoop, squat and stretch
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, listening and hearing ability and visual acuity
  • Must be able to walk and stand for extended periods of time up to four (4) hours

Responsibilities

  • Property Inspections & Need Identification: conduct comprehensive on-site property audits of public areas, guest rooms, and back-of-house areas to verify that all décor, FF&E, and property conditions comply with brand standards as well as to define scope for necessary capital improvements
  • Collaboration: Collaborate with Operations leadership on Capex-related or Design-related property challenges or needs
  • Reporting: generate detailed property reports highlighting areas that need attention from a Capex and Design perspective
  • Action planning: recommend corrective actions and follow up to ensure compliance
  • Resource Allocation: classify needs by urgency identifying “critical/immediate items” vs. “deferred” items for future cycles as well as determine which improvements can be executed by onsite operations teams and which require further external support as far as decisions, purchasing and execution
  • Tracking: maintain all records and scheduling related to addressing and executing the needs at the property level
  • Brand & Design Oversight: ensure every element – from physical shape of the property to furniture placements, styling, and overall conditions – aligns with brand standards or other relevant design guidelines
  • End-to-End Procurement: manage the selection, sourcing, bidding, and purchasing of FF&E and OS&E as needed. Communicate directly with vendors, negotiate pricing, and track budgets & delivery timelines to ensure speed and accountability
  • Vendor Management: Maintain an active portfolio of vendors spanning various Capex and Design-related functions.
  • Project Oversight: manage the execution of tasks as applicable to including monitoring vendor performance, scheduling, and overall coordination
  • Capex Planning & Budgeting: provide assistance on developing and managing annual capex plans by creating budget estimates and support on executing tasks
  • New Project Purchasing Support: assist in the FF&E purchasing process for new company projects as needed from creating forecast budgets to procurement, project draw management, tracking of items, and installation
  • Perform other related duties and special projects, as assigned
