The Campus Tour Program Assistant at the University of Redlands plays a crucial role in enhancing the campus visit experience for prospective students and their families. Reporting directly to the Associate Vice President of Admissions, this part-time position is responsible for planning and scheduling all activities related to the campus tour and visit program. The assistant will work approximately 25 hours per week and may need to be flexible with evening and weekend hours to accommodate various visitor schedules. The role is pivotal in ensuring that all tours and visits are executed smoothly and that prospective students receive exceptional service throughout their experience. In collaboration with the Associate VP of Admissions and the Director of Admissions, the Campus Tour Program Assistant will hire, train, schedule, and manage student workers and ambassadors who support the enrollment goals of the university. This includes regularly observing and assessing the performance of student workers and the quality of tours provided. The assistant will set the standard for exceptional customer service, ensuring that all prospective students, enrolled students, and university constituents receive outstanding service. The responsibilities also include managing daily campus tour and visit requests, providing potential visitors with additional information, scheduling assistance, and prompt follow-up communications. The assistant will utilize a Customer Relationship Management (CRM) system to coordinate on-campus visits, which may include admission interviews, campus tours, meetings with financial aid, and academic departments, as well as class observations and lunch arrangements. Building and sending confirmation letters and emails to prospective visitors is also a key duty, along with making confirmation phone calls prior to visits. To evaluate the success of the visit program, the assistant will conduct frequent assessments and provide reports to the Associate VP of Admissions, highlighting return on investment, successes, and recommendations for improvements. Maintaining extensive data on visitor numbers, behaviors, and demographics using the CRM tool is essential for this role. Additionally, the assistant may serve as a liaison or backup for the Office Assistants and Campus Receptionist as needed, and will perform other related duties and special projects as assigned.
