About The Position

The Campus Special Events Coordinator supports the strategic planning, operations, and execution of special events across campus, and occasionally at off-site locations. Events include, but are not limited to, academic programs such as Commencement and Student Check-ins, corporate and executive functions, employee events, non-sports camps, and high-profile student engagement events, such as Homecoming and Prom. This position serves as the event lead for select programs and partners with the Campus Special Events Manager on more complex events.

Requirements

  • Bachelor’s Degree in Event Operations, Hospitality, Entertainment, Production, or related field, preferred
  • Experience in event planning and execution, preferred
  • Ability to establish and follow budgets
  • Strong organizational, time management, and prioritization skills
  • Demonstrated ability to adapt to changing priorities and meet deadlines in dynamic environments
  • Team player with the ability to collaborate across diverse groups, including with executives and vendors
  • Strength in building effective working relationships
  • Excellent written and verbal communication skills
  • Exceptional attention to detail
  • Positive attitude and solutions-oriented mindset
  • Proficiency in, or ability to learn various digital platforms, including scheduling, finance, and venue mapping systems
  • Ability to lift, move, push, and pull equipment or boxes in excess of 40lbs.
  • Capable of performing event set up, break down, and on-site execution tasks
  • Able to work outdoors in a range of temperatures and weather for a reasonable period of time
  • Must be able to move around campus which includes gym, turf, fields, etc.
  • Availability to work flexible hours to include nights, weekends, and holidays

Nice To Haves

  • Knowledge of/experience in hospitality and event production is a plus

Responsibilities

  • Collaborate with the Campus Special Events Manager to plan, execute, and close out events, with a strong emphasis on quality
  • Plan and coordinate customized events for internal and external clients, including timelines, agendas, and programming
  • Partner with Academics and Student Engagement teams to assist with IMG Academy Student & Parent related events (e.g., Commencement, Commitment Ceremony, Check-in, etc.)
  • Coordinate on-site logistics including signage displays, vendors, registration and procedures, and elevated service elements
  • Develop and manage event budgets with guidance from Campus Special Events Manager, ensuring all event expenditures remain within budget
  • Prepare event documentation, including event orders, itineraries, maps, post event recap reports, and other event paperwork, as needed
  • Research, compare, and secure vendors to maximize return on investment, impact, and value
  • Represent IMG Academy with professionalism, positivity, and strong product and company knowledge
  • Comply with all company policies, procedures, and business ethic codes
  • Other duties as assigned
