About The Position

Manage and supervise the campus Registrar's office. Maintain records for all students, including: program, schedules, class participation, grades and graduation date. Maintain and update all computerized academic records. Create, maintain and close files of current, withdrawn, graduate, and terminated students.

Requirements

  • Minimum bachelor’s degree in fields such as Education, Business Administration, or a related area.
  • Master’s degree preferred in Higher Education Administration, Educational Leadership, or a related field.
  • Minimum of five (5) years in registrar or related administrative roles within higher education.
  • Demonstrated expertise in higher education registration and records management.
  • Proficiency with Student Information Systems (Campus Nexus preferred).
  • Advanced proficiency in Microsoft Office Suite and records management systems.
  • Strong data analysis and system administration capabilities.
  • Comprehensive knowledge of federal education regulations and compliance requirements.
  • Understanding of academic records maintenance principles and procedures.
  • Commitment to academic excellence and student success.
  • Ability to supervise staff, manage teams, and lead projects.

Responsibilities

  • Respond promptly to daily communications via email and voicemail, addressing inquiries promptly and professionally.
  • Ensure strict adherence to the University's mission, policies, procedures, ethical standards, compliance with data protection regulations and pertinent legal regulations in all aspects of admission activities.
  • Participate in Commencement Exercises, new student orientation, university events, committees, self-studies, and University Commencement Ceremonies.
  • Execute special projects assigned by the President or supervisor.
  • Ensure compliance with Title IX of the Education Amendments Act of 1972, as well as FNU Policies, Procedures, Rules and Regulation, the FNU Code of Ethics, Family Educational Rights and Privacy Act (FERPA), Florida Information Protection Act of 2014 (FIPA), the EU General Data Protection Regulation (GDPR), and all other applicable federal, state, and local laws, rules, and regulations.
  • Undertake other assigned duties as required.
  • Manages and supervises the Campus Registrar's Office.
  • Completes the students' registration process.
  • Supervises the administration of placement and entrance tests to new students.
  • Advises students in regards to class participation, course selection and graduation requirements.
  • Properly places students in remedial courses as needed per diagnostic test.
  • Maintains the student Academic file with the required documentation.
  • Enters, maintains, and backs-up computerized student records data.
  • Every mini-semester, posts and keeps updated the Campus Master Schedule in the computer management system.
  • Schedules students based upon the classes assigned by Division Heads.
  • Complies with the Add and Drop period policy.
  • Maintains accurate Academic Status of all students every mini-semester (Active, Leave of Absence, Probation).
  • Completes the Student Status Confirmation Report (SSCR) every mini-semester.
  • Prepares Registered Credit by Term report every mini-semester.
  • Controls class participation for retention purposes.
  • Complies with the withdrawal Policy.
  • Post final grades in a timely manner.
  • Prepares students' graduation lists for each mini-semester.
  • Ensure that graduating students’ files are processed accurately by the set schedule.
  • Completes and updates In-School Deferment Request forms.
  • Ensures that all presently enrolled students have correct graduation date and make adjustments as needed.
  • Ensures that students' records are kept according to FNU's policies.
  • Oversee the accurate and confidential maintenance of academic records for active-duty students, ensuring compliance with military educational guidelines.
  • Evaluate and process military transcripts, translating military training and experience into academic credits, facilitating a smooth transfer process.
  • Work closely with the Director of Military Affairs and academic departments to establish and maintain flexible course schedules, accommodating their courses to the military service obligations.
  • Stay informed about changes in military educational policies and ensure the institution’s compliance with relevant regulations affecting active-duty students.
