As an employee, you will adhere to all requirements in the Child Abuse Prevention & Reporting Policy and regularly attend Child Abuse Prevention and Safety/Risk Management trainings as assigned. The Camping Services Administrator, under the direction of the Senior Executive Director of Camping Services, shall be responsible for all financial, administrative, and marketing operations of the Camping Services Branch Office. This includes but is not limited to camp registration, maintaining statistical and financial information, purchasing for the office, and supporting the camps during the summer. In conjunction with the Senior Executive Director of Camping Services, the Camp Registrar will also assist in the marketing efforts in support of Camp Lawrence, Camp Nokomis, and Camp Otter. Additionally, the Camping Services Administrator will serve as a Human Resource Liaison for the Camping Services Branch, supporting the Camp Directors with seasonal staff hiring paperwork in accordance with YMCA policies and procedures. Direct training with HR will be provided for support in onboarding seasonal hires, verifying and collecting payroll documentation, and implementing new hire processes using the applicant tracking system, and collaborating with HR and hiring managers.

Requirements

  • Associate or bachelor’s Degree from an accredited college or university or related experience preferred.
  • Minimum three years of customer relations experience with proven results.
  • Excellent interpersonal, written, and verbal communication skills.
  • High level of organizational skills, attention to detail, and accuracy.
  • Excellent computer skills. Proficiency in Microsoft Office (Excel, Word, Power Point, Publisher). Familiarity with camp and membership software programs or ability to learn this software quickly.
  • Ability to handle confidential information with discretion and integrity.
  • Must complete Merrimack Valley YMCA online Child Abuse Prevention Training within the first two weeks of employment.
  • Must complete CPR/AED training within the first 90 days of employment.

Responsibilities

  • Manage the camp registration process.
  • Maintain timely and effective communication with parents and guardians.
  • Process invoices and purchasing for the camp office.
  • Support Camp Directors with all seasonal hiring paperwork and coordinate with Human Resources to ensure timely and accurate processing.
  • Assist in marketing efforts for the Camping Services Branch.
  • Perform other administrative duties as assigned.
  • Overall responsibility of Camping Services Office Operations.
  • Responsible for all administrative aspects of the registration process, including maintaining accurate records and managing payments, refunds, enrollment forms, and other camper information.
  • Lead and implement the management of the financial assistance process in accordance with the YMCA policies and procedures.
  • Responsible for the maintenance and dissemination of all financial operations of the office, at the direction of the Senior Executive Director of Camping Services.
  • Assist with the development and distribution of all camp brochures, newsletters, registration materials, flyers, parent communications, and manuals.
  • Manage the camp software program (Camp Brain).
  • Provide leadership and support of Annual Campaign that results in achievement of our annual fund-raising goal.
  • Attend and assist with association special event fundraising efforts.
  • Participate in branch, association, and community events.
  • Perform other duties as assigned by Senior Management.
