About The Position

At River Way Ranch Camp, the Camp Administrative Coordinator plays a crucial behind-the-scenes role, contributing to a 60-year legacy by managing daily logistics and providing fast-paced service to keep families connected and the camp running safely. This position is ideal for a high-energy professional who enjoys interacting with families, possesses a keen eye for detail, and ensures parents feel confident in their child's care. The coordinator thrives in a fast-paced environment, adeptly handling a high volume of phone calls while maintaining focus. They are capable of collaborative teamwork but also skilled at independent initiative, taking responsibility seriously, and upholding confidentiality and safety standards. The role offers significant opportunities for personal and professional growth within a high-stakes environment. During peak season, the office serves as the central hub, where the coordinator will manage critical aspects of the River Way experience, including organizing and distributing Dog Tag awards and 3 and 5 year gifts for closing ceremonies, preparing paperwork and rosters for the infirmary and swim testing stations on camp Opening Days, organizing Staff Meeting boxes with evaluations and award forms for leadership meetings, assisting in coordinating transportation boxes and managing checklists for staff airport pickups (including passports and petty cash), and overseeing the check-out and check-in process for all camp electronic supplies.

Requirements

  • Ability to master camp management software and maintain 100% accuracy in records.
  • Must possess endurance and strength to supervise campers in high outdoor temperatures.
  • Ability to observe behavior, enforce safety rules, and respond to emergencies.
  • Must remain alert for extended periods and lift up to 40 lbs with reasonable accommodation.

Nice To Haves

  • Prior experience in high-volume customer service is a plus.

Responsibilities

  • Manage high-volume inbound calls and answer sales-related questions from families professionally.
  • Maintain office organization and cleanliness to ensure the engine runs efficiently.
  • Conduct proactive outreach to families with missing forms one to two weeks before their campers arrive.
  • Maintain camper and staff databases and upload all documentation.
  • Oversee camper follow-up calls and emails to gather feedback on their experience.
  • Serve as a Petty Cash Officer and ensure all funds and receipts are reconciled immediately.
