The position is responsible for registering new patients, scheduling appointments, and sending messages to the corresponding offices. The role requires effective communication and multitasking skills to handle a diverse patient population and manage various administrative tasks in a busy call center environment.

  • Registering new patients and entering all demographics and insurance information.
  • Counseling patients and verifying appointments.
  • Scheduling appointments and surgeries for multiple physicians.
  • Directing calls to the appropriate department.
  • Answering incoming telephone calls and accurately booking appointments in the Next Gen system.
  • Taking messages from patients, doctors, and pharmacies.
  • Taking consultation requests from doctors and hospitals.
  • Confirming appointments for the following business day.
  • Assisting with rescheduling of appointments when changes occur.
  • Providing accurate information to patients related to insurance, time of visit, paperwork, and office protocols.
  • Maintaining accurate and complete documentation in each patient's chart related to calls/messages.
  • Making outbound new patient calls and welcoming new patients to the practice.
  • Providing backup support for the Front Office as needed.
  • Performing other duties as needed.
  • High School diploma or equivalent.
  • 2 years of previous experience scheduling appointments and/or surgeries.
  • Experience with insurance.
  • Knowledge of clinic policies and procedures.
  • Knowledge of managed care contracts and utilization.
  • Knowledge of computer systems, programs, and spreadsheet applications.
  • Knowledge of medical terminology and familiarity with scheduling software.
