About The Position

The City Clerk Records Specialist is responsible for planning, directing, and overseeing the development and maintenance of the City's records and information management program. This role involves coordinating records management activities, ensuring public access to records in compliance with state laws, and performing various administrative duties related to records management.

Requirements

  • Two years of municipal records management or information systems program support experience.
  • Hands-on experience with managing OnBase (records management) and OneMeeting (agenda management) programs is highly desirable.
  • Public agency experience is highly desirable.
  • High school diploma or equivalent supplemented by college-level coursework in computer science, records management, or a related field.
  • Possession of a valid California driver's license.
  • Ability to obtain a Certified Records Manager Credential within two years of appointment.

Nice To Haves

  • Experience with document scanning technology and system software.
  • Knowledge of pertinent Federal, state, and local laws, codes, ordinances, and regulations including the Public Records Act.

Responsibilities

  • Perform technical and administrative duties in support of the City's records maintenance and retrieval programs.
  • Manage the Citywide centralized records management program and ensure compliance with related policies and procedures.
  • Coordinate the use and maintenance of the City's document imaging system, including preparing documents for scanning and examining scanned documents for quality.
  • Maintain the City's Public Records Webpage and ensure materials are updated as needed.
  • Develop policies and procedures for records management services and update the policy manual as necessary.
  • Assist City staff with records management and document retrieval, ensuring exceptional customer service.
  • Prepare correspondence and documents, reviewing them for accuracy and compliance with City standards.
  • Coordinate the destruction of unneeded records according to established City Records Management policy.
  • Maintain the central records repository and related database.
