About The Position

The position of Business Transformation Analyst involves supporting the OhioBuys eCommerce System, which runs on the Ivalua application, and its associated system interfaces. This includes managing contract, catalog, and inter-system connections like punchout catalogs, order transmissions, and advanced shipping notices. The role requires developing and implementing state configuration policies and procedures related to statewide enterprise back-office processes for Catalog and P2P requirements. The analyst will collaborate with various teams (Sponsors, Ivalua, OneSpan, OAKS, State Procurement, Agencies, Auditors) to analyze and define requirements and business rules for system design and integration. Key responsibilities also include providing module support to agencies by researching and resolving system issues, managing Help Desk cases within established timeframes, and escalating issues to managed service providers when software malfunctions. The analyst will work with upgrade teams for system maintenance, provide input on configuration, map and validate data, and analyze business process reports. A significant part of the role involves creating, validating, and executing test plans and scripts for technical changes, new functionality, patches, or bundles. The analyst will also contribute to the design and development of reports and screen layouts, review user documentation and training materials, and consult with customer staff to address business issues. Furthermore, the role assists with various OhioBuys projects, including researching existing operations for software improvements, assessing the feasibility of application modifications, developing functional requirements, writing Business Requirement Documents (BRDs) for enhancements, and ensuring system compliance with state regulations. The analyst will respond to high-level inquiries regarding system processes and inter-system connections, analyze impacts of patches, and be available 24/7 to respond to module issues, which may involve compensatory time. The position also entails knowledge transfer to state employees, acting as a proxy for the Modules Lead, evaluating production support, and undertaking special projects, research, and reports as assigned.

Requirements

  • Completion of undergraduate core coursework in business administration, public administration, information systems, engineering, or comparable field
  • 2 years experience in business process transformation, organizational design, strategic human capital management &/or business process reengineering
  • Knowledge of ERP web-based applications
  • Knowledge of ERP procurement & catalog module
  • Knowledge of Business administration
  • Knowledge of Laws, rules, & regulations relating to state purchasing
  • Knowledge of Integration of other modules with the catalog module (e.g., contracts, items, requisitions)
  • Knowledge of ERP error resolution process
  • Knowledge of State of Ohio procurement
  • Knowledge of Business process delivery
  • Knowledge of Organizational reengineering
  • Skill in Operation of personal computer & associated hardware & software
  • Skill in Configuring Catalog & P2P connections
  • Skill in Webpage design & configuration

Responsibilities

  • Supports all components of contract & catalog & inter-system connections (e.g., punchout catalogs, order transmissions & acknowledgements, & advanced shipping notices) work assigned for OhioBuys eCommerce System running on Ivalua application:, as well as associated System Interfaces
  • Works with team or independently to develop & implement state configuration policies & procedures regarding incorporation of statewide enterprise back office procedures relating to Catalog & P2P requirements
  • Work with teams (i.e. Sponsors, Ivalua, OneSpan, OAKS, State Procurement, Agencies, Auditors & others) to analyze & define requirements & business rules to facilitate design & integration
  • Provides module support to agencies by researching & fixing system issues
  • Researches & resolves assigned Help Desk cases in case management system, or related applications
  • Works in case management system to resolve cases with in established time frames & processes
  • Reports cases to OhioBuys or OAKS managed services provider when software is not functioning as designed
  • Works with upgrade teams in OhioBuys & OAKS for system upgrades & maintenance
  • Provides input to team leads on configuration issues
  • Maps & validates data
  • Analyzes & interprets business process related reports
  • Creates test plans works with the team to create, validate &/or execute test scenarios/scripts for a wide variety of complex technical changes related to business component improvements or changes
  • Writes & executes test conditions & scripts to ensure system is functioning properly when new functionality, patches or bundles from OhioBuys or OAKS are loaded into the system
  • Participates in design & development of report & screen layouts & reviews & comments on user documentation &/or training material for the module
  • Consults with customer staff to analyze business issues & work toward solutions to business problems
  • Assists central offices &/or business owners & operations staff during all phases of business transformation projects
  • Assists with various projects for OhioBuys & other support systems
  • Researches & analyzes existing operations, systems & procedures to determine software improvements for applicable modules
  • Provides input to determine the feasibility & impacts of application modifications
  • Assists with the development of functional requirements & provides expertise to Ivalua for system enhancements to software
  • Writes business requirement documents (BRD) for software enhancements & future releases
  • Ensures system is functioning in compliance with state rules & regulations
  • Responds to inquiries requiring higher-level knowledge of system processes & inter-system connections (e.g., punchout catalogs, order transmissions & acknowledgements, & advanced shipping notices)
  • Analyzes patches & bundles to determine impacts
  • Responds to module issues 24 hrs./day, 7 days/week that may require comp time
  • Identifies targeted state employees to transfer knowledge
  • Acts on behalf of the Modules Lead in their absence (e.g., attends meetings & relays decisions, policies & procedures)
  • Evaluates Ivalua/OAKS production support
  • Completes other duties as assigned (e.g., special projects, research, reports)
