The Business Support Specialist role is designed to provide comprehensive and sensitive office administrative support to consultants within the Arlington Retirement Line of Business, as well as to the Office Line of Business Leader. This position requires a high level of proficiency in various software applications, including Microsoft Word, Excel, PowerPoint, Outlook, OneNote, and Point, to ensure efficient and effective support for the team. The specialist will be responsible for managing a diverse range of tasks that are critical to the success of the consultants and the overall business operations. In this role, the specialist will handle email management by efficiently responding to and prioritizing a variety of email requests from consultants, ensuring that all communications are timely and effective. The creation and refinement of client deliverables will be a key responsibility, which includes designing presentations and documents using PowerPoint and Word. This involves not only creating visually appealing slideshows and decks but also managing footnotes, tracking changes, and executing mail merges to ensure that all client materials meet the highest standards of quality. Proofreading is another essential aspect of this position, as the specialist will be tasked with ensuring that all client materials are meticulously checked for grammar, formatting, and adherence to WTW branding guidelines. Calendar management will also be a significant responsibility, requiring the organization and coordination of internal and client meetings to maintain a well-managed schedule. The specialist will facilitate virtual meetings, including Teams meetings, Live Events, Town Halls, and polling activities, ensuring that all technical aspects are handled smoothly. Additionally, the role involves learning and utilizing financial systems such as Oracle for financial management, including invoicing and project code maintenance, as well as ARIBA for Accounts Payable. Contract management will be conducted using COMET, while document management will involve utilizing Dynamics for client database management and revenue tracking. Event coordination is another critical responsibility, requiring the planning and execution of various events with a keen attention to detail. The specialist will also support meetings by recording and summarizing notes to ensure accurate documentation of discussions and decisions.
