About The Position

The Business Services Professional plays a pivotal role in supporting the financial and administrative management of a large rehabilitation science research portfolio. This position ensures compliance with institutional, federal, and sponsor regulations while providing strategic financial oversight and operational support to the principal investigator, other faculty and administrative staff working on university and Department of Veterans Affairs (VA) projects.

Responsibilities

  • Develop and manage annual budget forecasts and salary distribution plans based on a comprehensive understanding of multiple project timelines, personnel and operational needs and the overall mission of the team.
  • Using independent decision-making, responsible for the regular review of expenditures and providing regular updates and reporting to leadership on financial status ensuring compliance with policies and procedures of the university, department and federal and other funding sources.
  • Serve as primary point of contact for principal investigator on financial and administrative matters.
  • Collaborate with university and VA finance teams to review financial performance, identify issues, and work collaboratively toward improvement.
  • Liaise with various university departments and VA groups to ensure timely invoicing, fund transfers, reconciliations, and reporting.
  • Based on a thorough understanding of future project scope, develop budgets and budget justifications for new grant applications.
  • Develop a procurement strategy for each project, including a cost analysis which aligns with each project’s timelines and goals. Work with project teams to procure equipment and supplies ensuring there are no delays in project progress.
  • Manage various VA mechanisms for research work affiliation and compensation.
  • Coordinate recruitment, hiring, onboarding, and offboarding of staff, students and volunteers.
  • Coach new staff and students on roles, responsibilities, and expectations.
  • Estimate resource requirements and allocate available resources (including time) effectively so that all projects are adequately covered.
  • Support payroll issue resolution and personnel report reviews.
  • Communicate and implement HR related functions with other university departments.
  • Approve time sheets and leave requests.
  • Monitor work-study student award balances and compliance with university deadlines.
  • Develop and execute operational efficiencies and recommend improvements to research and administrative workflows.
  • Manage all aspects of lab operations including daily operations of the lab, equipment inventories, computer resources, space allocation, facilities contact for repairs/construction.
  • Oversee communication with VA administrative team regarding logistics and operations for research projects.
  • Run team meetings and support internal communication.
  • Oversee special projects as required to maintain smooth and efficient operations.
