About The Position

Detail-oriented and organized Supply Chain Specialist to oversee the day-to-day management of vehicle fleet. This role involves handling insurance-related tasks, coordinating maintenance activities, and ensuring accurate tracking of all vehicles. The ideal candidate will be proactive in managing claims, renewals, and fleet expansions while maintaining clear communication with internal teams and external partners. The Specialist also is responsible for ordering and maintaining office/facility supplies through approved ordering and delivery process. This position plays a critical role in minimizing downtime, reducing costs, and ensuring compliance with regulatory standards.

Requirements

  • High School Diploma or GED required.
  • 2-5 years of experience in fleet management, vehicle maintenance, insurance administration, or a similar role.
  • Proficiency in Microsoft Excel (spreadsheet management, including formulas, pivot tables, and data visualization) and other fleet management software (e.g., Fleetio, Samsara, or similar).
  • Strong knowledge of vehicle insurance processes claims handling, and regulatory requirements.
  • Excellent communication skills for coordinating with maintenance teams, vendors, and stakeholders.
  • Detail-oriented with strong organizational and multitasking abilities.
  • Ability to analyze data and generate actionable insights.
  • Valid driver's license and a clean driving record.
  • Must be in good physical condition without any restriction in the ability to walk, run, stand, sit, or climb multiple flights of stairs
  • Must be able to drive a vehicle for extended amounts of time without interruption (intervals up to 3-4 hours)
  • Regularly required to use hands to handle or feel; talk; see; and/or hear. Specific vision abilities required by this job include close vision and color vision.
  • Must demonstrate the ability to lift a minimum of 25 pounds.

Nice To Haves

  • Preferred bachelor’s degree in business administration, Logistics, Automotive Technology, Insurance or a related field preferred. Equivalent experience may be considered.
  • Experience with commercial vehicle fleets is a plus.
  • Certified Fleet Manager (CFM) or similar credentials in insurance or automotive fields.

Responsibilities

  • Insurance Management: Oversee all aspects of vehicle insurance, including processing claims, coordinating with insurance providers for accident reports and settlements, and managing renewals to ensure continuous coverage for the entire fleet.
  • Fleet Onboarding and Placement: Handle the integration of new vehicles into service, including registration, insurance setup, and initial inspections. Ensure all new assets are properly documented and deployed to appropriate locations.
  • Maintenance Coordination: Communicate regularly with the maintenance team to schedule repairs, preventive maintenance, and inspections. Track service histories and ensure vehicles meet safety and operational standards.
  • Vehicle Tracking and Reporting: Maintain comprehensive spreadsheets and databases for all vehicles, including details on locations, mileage, maintenance records, insurance status, and operational history. Generate reports on fleet performance, costs, and utilization for management review.
  • Compliance and Risk Management: Monitor fleet compliance with local, state, and federal regulations related to vehicle operation, insurance, and safety. Identify potential risks and recommend improvements to policies or procedures.
  • Vendor and Team Collaboration: Liaise with external vendors (e.g., insurers, repair shops) and internal teams to resolve issues efficiently. Provide updates on fleet status and support budgeting for maintenance and insurance expenses.
  • Data Analysis and Optimization: Analyze fleet data to identify trends, such as high-maintenance vehicles or frequent claims, and propose strategies to optimize fleet efficiency and reduce costs.
  • Facility Supply Ordering: Receive and order supplies needed for all locations of SEIC, Sagamore Services and SELC. Includes the delivery of supplies and coordination of ordering the supplies needed.
  • Other Duties: Assist with fleet audits, emergency response planning for vehicle incidents, and special projects as assigned.
