About The Position

This position supports the SPAO Pre Award Research and Support Office and works with multiple departments in the School of Medicine. The role primarily manages all clinical trial pre award activities. A major responsibility is overseeing clinical trial budget development and negotiation. This includes interpreting contract terms, negotiating financial arrangements with sponsors, ensuring compliance with institutional policies, and identifying issues requiring renegotiation or clarification. This role may also assist in grant pre-award duties including proposal development, application submission, regulatory guidance and maintenance of electronic records. The position may also advise investigators on sponsor requirements for agencies such as NIH , ACS , and AHA . The role requires strong analytical and problem solving skills to meet project goals while adhering to University, sponsor, and federal guidelines. The position also provides financial and operational updates to the Director of Research Administration and exercises a high degree of independent judgment. Additional duties include supporting post award grant management as needed, preparing detailed proposal budgets, and coordinating with key University offices such as HR, OSR , the Provost’s Office, and the Dean’s Office. The position requires thorough knowledge of University business processes and federal regulations related to sponsored research.

Requirements

  • Advanced ability to monitor and manage financial accounts for completeness, accuracy, and compliance with accounting standards, regulations, and laws.
  • Advanced ability to manage reporting of complex financial areas or programs, including preparation of financial statements and reports.
  • Ability to develop complex formulas for spreadsheets.
  • A demonstrated ability to establish and maintain effective working relationships with staff, students, high-level officials and faculty
  • Operational knowledge and/or familiarity with scientific terminology
  • Excellent command of MS Office Suite
  • Excellent written and oral communication skills, critical thinking and interpersonal skills
  • Considerable experience with office management and administrative practices, techniques and technology
  • Excellent judgment and decision-making ability
  • Proven ability to exercise discretion dealing with top-level, proprietary and confidential information
  • Thorough knowledge of University business processes and federal regulations related to sponsored research.

Nice To Haves

  • Experience with grants or contracts.
  • Ability to prepare detailed financial reports and budgets in compliance with applicable University policies and procedures and or sponsoring agencies.
  • Extensive knowledge of university financial accounting, HR or administrative systems.
  • Experience in a university or medical setting.
  • Certified Research Administrator ( CRA ) certification.
