Requirements

  • Associate degree or higher in business or a closely related field, or an equivalent combination of management/supervisory experience and related education
  • Knowledge of Dental Reception
  • Knowledge of computer software applications (Microsoft Office Applications, others)
  • Knowledge of grammar, spelling, and punctuation as it relates to correspondence necessary to perform essential job functions
  • Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately
  • Excellent customer service skills
  • Skill in operating office equipment
  • Proficient keyboarding skills
  • Ability to critically think which means the ability to think clearly and rationally about what to do or what to believe; understand logical connections between ideas; and identify, construct, and evaluate arguments.
  • Ability to work in, and respond to demanding environment
  • Ability to communicate well and in a caring and supportive manner with individuals of all backgrounds.
  • Ability to work efficiently and accurately with strong attention to detail
  • Ability to sort and file materials correctly by alphabetic or numeric systems

Responsibilities

  • Monitor, validate and report on the accounting and billing systems of the department.
  • Ensures that established policies, procedures, and processes are implemented and followed at sites.
  • Responsible for setting up and maintaining/monitoring provider scheduling templates
  • Coordination of phone calls for patient scheduling - outreach/operational.
  • Receives daily tally sheets and formulates data into graphical records and reports on trends.
  • Develops/ monitors dental reception staff competencies and ensures supervisors/leads are actively assessing.
  • In the course of the patient visit/check-in, informs dental provider of information given by the patient or questions asked by the patient.
  • Ensures timely documentation and resolution of incidents and patient complaints.
  • Oversees inventory; orders supplies, maintains inventory, to ensure that the practice is adequately stocked.
  • Responsible for management of the dental reception staff and provider staff benefit time usage and verification of timekeeping for payroll purposes.
  • Creates and maintains monthly dental calendar of upcoming events.
  • Actively participates in PI initiatives and tracks trends to identify potential improvement opportunities and meets established performance goals.
  • Attend and actively participate in key community and organizational meetings.
  • Coordination and scheduling of off-site service events.
  • Prepare charts, inputs data for and participates in off- site service event.
  • Coordinates sealant, fluoridation and screening programs and other preventative and educational programs within the community.
  • Promotes Oral Health Education and works with other organizations to promote education.
  • Ensures that staff complies with all OSHA, HIPPA, dental protocols and organizational policies and procedures.
