The Business Office Manager is responsible for overseeing the administrative and financial operations of the office, ensuring that all tasks are completed efficiently and accurately. This role involves managing incoming phone calls, assisting the Executive Director and Management Team, and performing Manager On Duty responsibilities when assigned. The Business Office Manager will maintain vendor contract files and handle various accounts payable and receivable duties, including data entry into the Yardi system, managing invoices, and ensuring proper coding and approval on all financial documents. Additionally, the position requires generating resident billing, responding to inquiries, and making daily bank deposits. In terms of financial responsibilities, the Business Office Manager may participate in monthly budget variance conferences and assist with community credit card reconciliation. General accounting duties will also be part of the role, along with administrative tasks such as maintaining OSHA logs, labor law postings, and associate files. The position also involves human resources functions, including assisting in the recruitment and onboarding of new associates, managing training assignments, and providing support related to employee benefits and leaves of absence. The Business Office Manager must ensure confidentiality of all resident and associate information and maintain a safe working environment. This role requires effective communication with all levels of management, associates, residents, and family members, as well as the ability to lead by example and promote teamwork within the community.
