About The Position

The Business Office Manager is responsible for assisting in the administrative operations of the community, ensuring efficient management under the direction of the Executive Director. This role involves overseeing rent collection, lease signings, maintaining compliance with regulations, and performing general administrative duties. The manager will regularly consult with dual-reporting supervisors to meet operational expectations and support various departments within the community.

Requirements

  • Must be 21 years of age.
  • Prior management or administrative assistant experience of 1 year preferred.
  • General knowledge of residential/property management laws/guidelines.
  • Accounting or bookkeeping experience preferred.
  • Timekeeping and staff supervision preferred.
  • Demonstrated ability to communicate effectively in English, both verbally and in writing.
  • Ability to work in a team setting and maintain a positive, respectful, and professional approach.
  • Possess efficient organizational skills and excellent customer service skills.
  • Ability to work under time constraints with little supervision.
  • Computer and software proficiency such as Microsoft Word, Excel, and Outlook.

Nice To Haves

  • Experience in residential property management.
  • Knowledge of state-related requirements for the position.

Responsibilities

  • Assist in the administrative operation of the community under the direction of the Executive Director.
  • Track all community accounting changes and prepare invoices for the community.
  • Manage the invoice lifecycle and ensure proper coding for accounts payable.
  • Conduct employee training programs and maintain personnel files.
  • Manage employee timesheets and ensure timely payroll processing.
  • Assist the Executive Director with documents, correspondence, and special projects.
  • Monitor the community to ensure safety and maintenance standards are met.
  • Represent the community to visitors in a professional manner.
  • Oversee community operations in the absence of the Executive Director.
