The Business Office Manager plays a crucial role in enhancing the effectiveness of the office by providing comprehensive support for day-to-day operations. This includes managing human resources functions, maintaining personnel and resident files, overseeing accounts payable, and ensuring compliance with state and federal regulations as well as the standards set by HRA. The position requires a proactive approach to office management, ensuring that incoming phone calls are handled efficiently and assisting the Executive Director and Management Team as needed. The Business Office Manager will also take on Manager On Duty responsibilities when assigned and maintain vendor contract files to ensure smooth operations. In the financial aspect of the role, the Business Office Manager is responsible for performing accounts payable duties, which include data entry of payables into the system and the submission of the monthly accounts payable purchase journal. This role also involves accounts receivable duties, such as data entry of resident transactions, collection of amounts due, and generating accurate resident billing. The manager will ensure that all expenses are assigned to the correct department code numbers, make daily bank deposits, and maintain the petty cash process, including ledger accounting for disbursements. Participation in monthly budget variance conferences and preparation of refund requests for residents are also part of the financial responsibilities. Administrative duties include properly reporting and tracking job-related injuries and incidents, maintaining OSHA logs, and ensuring compliance with labor law postings. The Business Office Manager will prepare and maintain all associate files while ensuring confidentiality of resident and associate information. In terms of human resources and payroll, the manager will assist in recruiting new associates, perform onboarding processes, assign required courses to new hires, and assist with the administration of company benefit programs. This role acts as a liaison between the community and the company regarding policies and procedures, and it involves processing payroll, including inputting missed punches and ensuring timely submissions. Overall, the Business Office Manager is expected to lead by example, promote teamwork, and participate in community meetings and training opportunities.
