About The Position

The Business Office Associate assists patients, visitors, providers and office staff in a courteous and friendly manner. This role performs all duties efficiently and timely, while maintaining a positive patient flow, and serves as an office liaison when required.

Requirements

  • High School Diploma or Equivalent
  • 6 months in a related field involving administrative support and customer service activities (Experience can be substituted for successful completion of a Medical Office Administrative Assistant certificate program)

Responsibilities

  • Maintain a positive attitude.
  • Communicate courteously and harmoniously with persons in other departments or outside the practice, by phone, correspondence, or in-person meetings.
  • Appropriately communicate information to patients of all ages (Infant, Child, Adolescent, Adult, Geriatric).
  • Be responsive to all patients and office staff requests.
  • Perform duties assigned by authorized personnel or as required in an emergency (e.g., fire or disaster).
  • Answer and transfer telephone calls.
  • Accurately and timely relay orders and messages.
  • Schedule referrals.
  • Schedule appointments.
  • Schedule ancillaries.
  • Schedule surgeries.
  • Schedule hospital admissions.
  • Document in medical records.
  • Maintain forms and chart structure.
  • Perform electronic chart maintenance.
  • Manage image files.
  • Perform faxing.
  • Perform copying.
  • Handle incoming and outgoing mail.
  • Enter, verify, and correct patient demographics and insurance information.
  • Obtain necessary signatures and consents as appropriate.
  • Post charges and payments.
  • Collect payment for office visits.
  • Perform daily updates.
  • Handle deposits.
  • Maintain cash drawer.
  • Screen and collect unpaid balances.
  • Provide financial counseling when needed.
  • Work accounts receivable.
  • Perform precertification/authorization.
  • Operate and take responsibility for general office equipment (e.g., fax machine, copier), including routine maintenance, ordering supplies, log sheets, and cleaning.
  • Participate in department orientation.
  • Participate in annual training.
  • Maintain clerical log sheets/audits (samples, equipment).
  • Perform coding for E&M/basic visits.
  • Perform coding for office procedures/complex visits.
  • Perform coding for surgeries.
  • Perform coding for hospital services.
  • Handle correspondence.
  • Prepare statistical reports.
  • Manage accounts payable.
  • Process payroll.
  • Act as a chaperone.
  • Provide support and guidance for clerical policies and procedures.
  • Perform all other duties as assigned.
