About The Position
As a Business Office Associate at CarMax, you will play a crucial role in providing an exceptional customer experience in a fast-paced, team-oriented environment. Under the general direction of the Business Office Manager, your primary responsibility will be to facilitate the sales, auction, and appraisal processes while ensuring that all customer interactions are handled with care and professionalism. This position requires a strong focus on cash management, processing and auditing paperwork associated with sales, and delivering outstanding customer service by addressing inquiries and managing incoming calls. In this role, you will assist store personnel across various departments, adhering to CarMax guidelines to ensure smooth operations. Your responsibilities will include greeting customers, managing overflow traffic, and providing clear explanations of the paperwork process. You will be tasked with seeking win/win solutions for customers and collaborating effectively with your team. Additionally, you will process paperwork related to retail and wholesale automobile sales, which may involve printing daily reports, maintaining deal jackets, and liaising with finance companies regarding contracts. You will also manage auction sales, dealer registrations, and appraisal lane purchases, ensuring that all necessary documentation is collected and submitted to the Home Office for funding. Cash management will be a key aspect of your role, as you will handle multiple pay types, prepare deposits, and ensure the security of funds. Furthermore, you will process paperwork affiliated with the state DMV, assisting customers with vehicle registration and titling after sales. Mentoring new Business Office Associates and training other store departments on Business Office processes will also be part of your responsibilities. The work environment is dynamic, with numerous distractions and a need for effective communication. You will be required to stand or walk for extended periods and may work varied shifts, including nights, weekends, and holidays. Adherence to the CarMax dress code is expected at all times while on duty.
