The Business Office Assistant plays a key role in supporting the daily operations of the Business Office, primarily managing the Accounts Payable mailbox and coordinating payments through RAMP. In addition, the role assists with a variety of business office functions and performs other duties as needed to support the School’s programs. The ideal candidate is a self-starter—resourceful, organized, and a strong team player—able to work effectively under pressure, maintain a positive attitude, and build strong relationships with multiple constituents across the Business Office and School. This position reports to the Controller, is an on-campus, part-time role, and will be regularly reviewed by the CFOO to ensure responsibilities best support the institution.

  • Oversee the Accounts Payable (‘AP’) inbox
  • Confirm all receipts from the AP inbox are forwarded to RAMP for processing
  • Review receipts in RAMP for correct coding before saving for approval
  • Assist with Accounts Payable, preparing invoices and expense reimbursements weekly
  • Collect, log, and process petty cash deposits monthly
  • Responsible for student and employee food accounts
  • Coordinates with faculty, staff, and vendors as needed to support the accurate and timely execution of purchase orders, invoices, and expense transactions
  • Request, confirm, and organize W-9s for Independent Contractors
  • Filing and assistance with document retention
  • Support HR with administrative tasks
  • Support in organizing employee files and appropriate documentation
  • Provides support with additional duties as requested
  • Bachelor’s degree in a related field (Accounting or Finance preferred); relevant work experience may be considered in lieu of a degree
  • Strong verbal and written communication skills
  • Detail-oriented with a focus on processes and accuracy
  • Growth mindset with a willingness to learn and adapt
  • Experience with accounting software preferred; ability to learn quickly and demonstrate curiosity
  • Ability to thrive in a fast-paced school environment and adapt to changing needs
  • Proficient in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace (Mail, Calendar, Docs), including uploading and downloading digital resources
