About The Position

This position is responsible for supporting the Managing Director and key administrators by facilitating department expenditures, managing financial operations, monitoring payroll, and administering human resource functions for full-time, part-time, and student employees within the Security Department. The role also provides financial and business support to all department personnel. This position requires knowledge of and compliance with university procedures and operates within a professional university environment, adhering to federal and university policies governing accounting, human resources, payroll, and purchasing. The role also requires staying current with police and security-related technology. This position supervises one office employee.

Requirements

  • Minimum of four years of relevant experience or an equivalent combination of education and experience
  • Successful completion of a criminal history and background investigation
  • High level of professionalism, confidentiality, and discretion
  • Strong multitasking, prioritization, and organizational skills
  • Excellent written and verbal communication skills
  • Ability to work independently with minimal supervision

Responsibilities

  • Department Budget & Financial Management
  • Maintain financial accounting for the department budget and monitor all accounts, ensuring accurate transaction records
  • Consult with the Finance Business Partner on operational questions and procedures
  • Provide financial training and support to department office staff
  • Manage online financial systems, including fingerprint services, agency funds, receivables, and booting systems
  • Reconcile monthly budget versus actual reports and advise management on projected expenses
  • Process department purchases using purchase orders, purchasing cards, and campus cards, and approve purchasing card transactions and travel requests
  • Establish billing rates for special events and manage invoicing, collections, and monthly reconciliations
  • Represent the department within university finance operations groups
  • Prepare and submit department resource planning documents to the Budget Office
  • Human Resource Support
  • Support departmental policy development, planning, and operational research while ensuring compliance with university hiring standards
  • Coordinate internal promotions and participate in boards of review as requested
  • Maintain organizational charts, rosters, standby lists, and PDP reporting structures
  • Coordinate job description updates and submit revisions to Human Resources
  • Maintain department personnel files in accordance with policy
  • Review payroll costing allocations to ensure employees are paid from the correct budgets
  • Supervision of Staff
  • Supervise and manage office staff, including workload assignment, training, and performance documentation
  • Conduct and attend staff meetings to communicate operational updates
  • Oversee purchasing and inventory of security equipment, uniforms, and office supplies
  • Department & Administrative Support
  • Provide administrative support to the Managing Director, including correspondence and communications
  • Support office operations such as scheduling, reporting, data analysis, staffing, and hiring
  • Resolve day-to-day office issues and communicate human resource policies and administrative directives
  • Serve as liaison with campus departments, IT, custodial services, and the Employee Giving Campaign
  • Prepare agendas, record minutes, and follow up on assignments for administrative staff meetings
  • Assist with annual resource planning, facility-related needs, and special projects as assigned
  • Payroll Administration
  • Ensure accurate department payroll and administrative overload processing
  • Verify employee hours worked and proper recording of leave time
