Job Description: The Business Control Specialist in the Safe Deposit Box Process and Controls Management organization supports the Financial Center by ensuring operational excellence and compliance surrounding SDB maintenance and management inclusive but not limited to: Bank Initiated Drills, Vault and Safe Deposit Box Key inspections, system of record accuracy, as well as assisting in resolving any identified issues. Responsibilities: In this role the incumbent is responsible for interacting with all levels of management, as well as other Business Control Specialist partners across the Company, to: Manage safe deposit box drills at multiple financial centers. Collaborate with financial center associates and dual control partners to complete pre-drill work. Work with technicians and notaries (as needed) to drill boxes accurately and efficiently. Inventory, secure, and package contents following established guidelines. Enter drill activities and inventories into the Safe Box Drill Online Management System (SBDOMS) in real time. Communicate policy gaps, system issues, or scheduling changes promptly to the SDBPCM team. Review and analyze safe deposit box agreements for accuracy and assist in resolving discrepancies. Compare physical boxes to system records and reconcile differences. Validate box size accuracy and update records as needed. Ensure Out of Service and Available status boxes are reported accurately Collaborate with other lines of business on various projects and programs. Quality Assurance Responsibilities: Assess the design and effectiveness of risk and control environments to support Client Operational Services and ensure adherence to enterprise-wide standards. Provide administrative support for monitoring and testing controls, including data gathering and organization. Comply with established controls and Quality Assurance (QA) practices to support business continuity. Conduct and coordinate quality inspection reviews to enhance performance and control effectiveness. Perform QA activities such as executing controls, managing cases, and reporting results. Support initiatives by identifying procedural updates, test script improvements, and data discrepancies. Assist with operational research for regulatory exams, audits, and monitoring reviews; capture data for dashboard reporting. Use of Personal Protective Equipment (PPE), such as face masks, gloves, and sanitizing materials, is required for safety. Work may occur in environments with dust or mold; safety protocols are in place. Ability to work in semi-confined spaces with up to five individuals, including clients, associates, and third-party vendors. Ability to travel by car, plane, or train as needed. Standing for extended periods in limited-space vaults. Lifting and handling safe deposit box sleeves and shipment boxes (up to 50 lbs). Bending or kneeling to access lower-level boxes and using ladders or step stools for upper-level boxes. Drilling or inspections may require full-day activities depending on volume. Based in the Houston Metropolitan area

Requirements

  • 3+ years of Financial Center Operations Experience.
  • Flexibility and adaptability in a dynamic environment.
  • Strong time management and organizational skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and ability to follow established workflows.
  • Commitment to operational excellence.
  • Collaborative team player with the ability to motivate others.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and SharePoint; comfortable setting up technology for remote work and running Teams meetings.
  • Self-motivated and able to manage varying workloads independently with minimal supervision.
  • Ability to lift up to 50 lbs and work in semi-confined spaces, including bending, kneeling, and using ladders or step stools.
  • Comfortable sitting, standing, or kneeling for extended periods.
  • Based in the Houston metropolitan area.
