We are looking for a Business Administrator to join our Copilot Studio team! The ideal and successful candidate for this role needs to navigate a fast-paced environment, be agile and embrace changes, be able to multi-task, have excellent interpersonal skills, take initiative, demonstrate good judgment, and must maintain a high level of confidentiality. They must be highly competent at setting priorities while executing multiple tasks simultaneously. Requirements

  • 2+ years Administrative, Business Support, and/or customer service experience.
  • Ability to meet Microsoft, customer and/or government security screening requirements are required for this role.
  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Nice To Haves

  • 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
  • Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Responsibilities

  • Calendar Management & Meeting Logistics
  • Provide calendar management and time-planning support for multiple executives
  • Manage community space and conference room calendars as needed
  • Align calendars based on executives’ preferences, priorities, and operating styles
  • Ensure meetings are fully prepared, including room booking and AV/technical setup
  • Troubleshoot audio, video, and technical issues during meetings as needed
  • Cross-Functional Collaboration & Communication
  • Build and maintain strong relationships with stakeholders across multiple organizations (e.g., Business Support, HR, Finance, Events, peers)
  • Coordinate effectively with internal partners to enable leader and team execution
  • Communicate with external partners and audiences as required

  • Actively participate in the Business Support community
  • Mentor less experienced Business Support colleagues
  • Support onboarding and training of new Business Support staff as needed

  • Event Coordination & Logistics
  • Support planning, coordination, promotion, and execution of events
  • Assist in defining event objectives, scope, and success criteria
  • Create or co-own event itineraries and run-of-show documents
  • Serve as a point of contact for event updates, changes, and issue resolution
  • Address preparatory risks and escalate issues appropriately
  • Support post-event closeout, including attendance tracking, materials distribution, and follow-ups
  • Contribute to team morale and positive team dynamics
  • Project Ownership
  • Execute projects and tasks with minimal supervision
  • Own assigned components of projects end-to-end with clear accountability
  • Identify risks, dependencies, and challenges and communicate them proactively
  • Drive process improvements and operational efficiencies
  • Resource & Financial Management
  • Support planning, tracking, and maintenance of equipment and inventory
  • Process expense reports in full compliance with Microsoft policy
  • Track discretionary budgets (e.g., morale, hardware, supplies) and provide reporting
  • Manage vendors and suppliers, including setup and purchase order (PO) creation
  • Partner with Finance and Business Managers on budget-related activities as needed
  • Rhythm of Business (ROB)
  • Support execution of the team’s rhythm of business and operating cadence
  • Coordinate scheduling and meeting logistics aligned to business priorities
  • Recognize patterns and interdependencies across business cycles
  • Space Management & Planning
  • Maintain accurate space-management processes and team space records
  • Coordinate office locations, desk assignments, and conference room usage
  • Support large-scale space initiatives (e.g., moves, build-outs, restocks)
  • Liaise between admins, managers, and space planners
  • Use space utilization data to inform recommendations and future needs
  • Maintain accurate space data in relevant systems and databases
  • Team Management Support (Headcount, Hiring, Onboarding/Offboarding)
  • Support team experience and engagement activities
  • Partner with Global Talent Acquisition and hiring managers on recruitment logistics
  • Coordinate onboarding and offboarding for employees, vendors, and interns
  • Manage logistics such as equipment ordering, workstation setup, DLs, and security groups
  • Maintain headcount tracking, transfers, reporting, and transactions in relevant systems
  • Travel Management
  • Arrange domestic and international travel using Microsoft tools
  • Coordinate accommodations, transportation, security, and group travel needs
  • Create detailed itineraries as needed
  • Ensure required travel documentation is obtained (e.g., visas, immunization records)
  • Ensure compliance with Microsoft travel policies
