The Business Administrator & Operations Analyst provides direct administrative support to the COO/Division Head of USM and Memphis office while supporting business operations through data analysis, reporting, and process improvement. This role combines executive-level administrative support with analytical responsibilities to enhance operational efficiency and decision-making.

  • Provide general administrative support to the COO/Division Head of USM and Memphis office.
  • Manage COO calendar and coordinate meetings with both internal and external parties.
  • Manage travel arrangements for COO including booking flights, accommodation, and transportation.
  • Prepare expense reports for COO and submit in timely manner.
  • Develop and prepare company presentations in PowerPoint under the direction of the COO.
  • Collect, analyze, and interpret business and operational data to provide actionable insights.
  • Create and maintain dashboards, reports, and performance metrics to support executive decision-making.
  • Monitor and track progress of key initiatives, ensuring deadlines and goals are met.
  • Identify opportunities for process improvements and operational efficiencies within the division.
  • Support coordination of cross-functional projects and initiatives.
  • Travel to satellite locations in Tennessee as needed.
  • Perform other duties and responsibilities as assigned to meet business needs.
  • Bachelor's degree in Business Administration, Finance, Data Analytics, or related field.
  • At least 3-5 years of experience in business operations, analytics, or executive administrative support.
  • Strong analytical skills with the ability to interpret data, identify trends, and provide actionable recommendations.
  • Advanced proficiency in Microsoft Excel and PowerPoint.
  • Strong reporting skills, with the ability to pull, create, maintain, and present dashboards, metrics, and performance reports.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong attention to detail with problem-solving and critical-thinking skills.
  • Ability to remain calm and make quick decisions under pressure.
  • Experience with data visualization tools (e.g., Power BI, Tableau) preferred.
  • Familiarity with Pentagon 2000 or Quantum strongly preferred but not required.
