About The Position

The Business Administrative Associate I (BAAI) provides support to the Director of Community Outreach Intervention Projects (COIP) at the University of Illinois Chicago. This role involves daily oversight of the business operations of COIP, acting as a liaison with UIC and funders for the review of proposals, applications, subcontract agreements, and all business-related matters. The BAAI supervises COIP's HR, Finance, and Business needs and personnel, ensuring compliance with university policies and requirements. The position is full-time and benefits eligible, with hybrid and flexible work schedules available.

Requirements

  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience.

Responsibilities

  • Provide daily oversight for the business operations of Community Outreach Intervention Projects (COIP).
  • Serve as Unit security contact for COIP.
  • Liaison with UIC and funders for review of proposals/applications, subcontract agreements, personnel/collaborator appointments, and all business-related matters.
  • Supervise/Oversee COIP's HR, Finance, and Business needs and personnel.
  • Develop processes/guidance/instructions for COIP to assure compliance with university policies and meet requirements.
  • Convening and leading regular administrative support team meetings.
  • Monitor accounts/budgets for all COIP programs and supervise the maintenance of all financial records for the unit.
  • Advise and assist supervisors and PIs on budget and other business problems related to their programs.
  • Approve all orders requests for the unit and process all revenues and gifts for COIP.
  • Point person for all pre-and post-award proposals and prepare and submit all PAFs and RFAs for COIP.
  • Prepare budgets, budget revisions, and billing for all non-federal contracts.
  • Work closely and regularly with UIC ORS team (pre-awards).
  • Manage FCOI training and disclosures for COIP.
  • Create, manage and provide oversight for all Sub-contracts and assist in the preparation of unit quarterly budget reports.
  • Track and monitor budget expenses and vendors monthly.
  • Oversee all program advances-requests, distributions and cash management, replenishments, reconciliations, close-outs and renew all annual standing Purchase Orders.
  • Enter Reviewer/Approver for all new hire requests, submit and monitor labor redistributions, assist with mandated requirements.
  • Manage the Salary Planner and Effort Reporting Process for COIP and serve as a backup for COIP's HR Representative.
  • Process Labor Distributions and overcomp requests for COIP, make salary recommendations for nonacademic personnel.
