Florida Atlantic University is seeking a Budget Manager for the Department of Chemistry & Biochemistry in Boca Raton, Fl. Summary of Responsibilities include: Responsible for financial management of all Department of Chemistry & Biochemistry funds: E&G, auxiliary, grants, endowments, and foundation accounts. Supervise and implement the University, College and Department policies and procedures as it applies to the financial function of the department. Works closely with Chair, Faculty, and Dean’s office. Review expenditures to ensure adequate funds are available and appropriately used. Maintain electronic database for expenditures and approve P-Card purchases in Workday. Perform budget management daily tasks of monitoring department performance against spending patterns and implementing measures to adhere to department annual budget. Create purchase requisitions and expense reports for department. Process department foundation scholarship awards for undergraduate and graduate students. Collaborate with controller's office, foundation, research accounting, graduate college, payroll, and purchasing in day-to-day financial processing, including payments and purchasing of supplies needed to operate department. Provide principal investigators with financial reports and detail of expenditures when requested. Manage payroll and timekeeping functions for the department. Meet with faculty and staff to communicate accounting concepts of allowable and unallowable costs related to spending, maintaining compliance and meeting budget deadlines. Perform HR functions to hire new faculty, adjunct faculty, and OPS students. Prepare and manage student appointments for Graduate Research Assistants (GRA) and Graduate Teaching Assistants (GTA), OPS employees and faculty additional compensation each semester. Prepare and submit graduate student tuition waivers each semester. Process department travel requests for students & faculty. Assist Chemistry faculty and students with administrative services on the Jupiter campus. Process and maintain fulfillment of department Continuing Education Courses. Prepare and submit American Chemical Society (ACS) annual reporting for degree certification. Prepare and submit department Faculty Activity Reports (FAR). Conduct monthly meetings with Senior Lab Administrator related to purchasing, invoicing and compliance of laboratory safety, including ensuring all reagents and supplies are available for all teaching and research labs. Work closely with department Instrumentation Specialist in providing effective solutions and support for purchasing department instruments/equipment, including maintenance and repairs as needed. Present budgets to department chair as requested. Engage in additional activities and projects as assigned by the Chair throughout the year. Interpret and apply university policies and procedures within the area of responsibility, while staying up to date on any changes. Other job-related duties may be assigned as needed.
