Requirements

  • Bachelor's degree and 2 years of relevant experience is required.
  • Strong self-starter, quick learner, and independent ability to operate with minimal supervision.
  • Proficient in Microsoft Excel, Outlook, Teams, and SharePoint.
  • Strong organizational and analytical skills.
  • Demonstrated ability to be a team player in a matrixed environment, work well with others, and remain calm under pressure.
  • Communicates clearly and proactively requests and shares information to align stakeholders with transparent data and reports.
  • Demonstrated proactivity and critical thinking; routinely identifies issues and brings multiple solutions with pros and cons of available options.
  • Strong project, time management, and organizational skills – applies only the necessary amount of process to ensure alignment, while keeping things simple and fast.
  • General knowledge of the pharmaceutical industry and healthcare environment preferred.
  • Experience with operating plan, financial phasing, and LE / buy-up processes preferred.

Responsibilities

  • Execute day-to-day budget activities, including PO creation, invoice payment, spend actuals vs plan tracking, and changes made to SOWs (for brands to maintain / reflect in Decideware & Adobe).
  • Coordinate with Pfizer Media, Brand, and Finance Leads on opening / increasing Media POs.
  • Oversee quarterly budget forecasting and reconciliation, including changes via buy-up exercises.
  • Communicate finance deadlines & milestones to teams and strategic partners, including accrual memo submission dates.
  • Ensure relevant systems accurately reflect the current spend & projections for all brands; Proactively reach out to vendors to submit expected and missing charges.
  • Manage reclass, accrual, and quarterly forecast submissions (LE) processes to Finance, including documentation for auditing purposes.
  • Upon discovery of missing or incorrectly charged expenses, proactive initiation of reclassification and application of appropriate cost center codes.
  • Share Weekly Reports for each brand, reflecting all vendor invoices and accruals (CoLab, Congresses, P2P, Market Research, Samples/Copay, Printing) with Project Owners, Budget Captains, and Brand Leads.
  • Assist stakeholders with any issues or questions regarding invoices and POs.
  • Provide annual budget breakdowns by spend category and include any rationale for variances.
  • Train new teammates and marketers on the budget processes.
  • Ensure all users are trained in the appropriate financial tools and processes (i.e. POD, ePA3 and Ariba), including knowledge transfer onboarding to new teammates.
  • Work with AP, Marketing, Analytics & Finance to resolve invoicing, billing, & system issues.
  • Stay up to date on Agency Management Processes in Decideware, expense coding and financial reporting in SAP, project finance management in POD, ePA3 and Ariba, Vendor Maintenance, FUSE, and invoice tracking (Taulia).
  • Work closely with Pfizer and external vendors to ensure proper documentation and policy compliance (CP102) for all Project submissions in POD, ePA3 and Ariba.
  • Manage financial audits for all projects, as needed, sending all necessary paperwork and project information to appropriate points of contact when an audit arises.
