About The Position

The Budget & Administrative Coordinator (BAAC) position at Duquesne University's School of Business is responsible for providing budget and accounting support as well as administrative assistance to academic departments and faculty. This role is essential for ensuring effective financial management and operational support within the School, reporting primarily to the Director of Business and Administration while also collaborating with other administrative staff.

Requirements

  • Bachelor's degree in business or related field from an accredited institution.
  • At least 3 years of budget/accounting experience in a large organization.
  • At least 3 years of administrative support experience in a large organization.
  • Knowledge of HR, Purchasing, and Payroll systems.
  • Strong computer skills, particularly in Microsoft Excel and the entire MS Office Suite.
  • Superb organizational skills and ability to multi-task.
  • Ability to interact effectively with diverse constituencies and maintain confidentiality.

Responsibilities

  • Assist in managing procurement card (p-card) transactions and budget allocations for SOBA purchases.
  • Complete Adjunct/Overload faculty contracts in collaboration with the Budget Manager.
  • Maintain adjunct information files for AACSB accreditation reviews.
  • Assist with Project Database for AACSB reviews.
  • Track and report budget-related data, including monthly expense reports and p-card charges.
  • Compile and analyze data related to enrollments, faculty loads, and credit-hours-taught (CHT).
  • Provide administrative support to full-time and adjunct business faculty.
  • Coordinate textbook requirements with the University Bookstore.
  • Schedule departmental Advisory Council meetings and member visits.
  • Supervise student aide staff as needed.
  • Purchase office supplies and classroom materials for the School.
