About The Position

The Real Estate Brokerage Coordinator supports the Real Estate Brokerage team by assisting with research, marketing support, documentation, and administrative activities related to commercial real estate brokerage services. This position provides practical exposure to brokerage operations, including property research, client support activities, market analysis, and transaction documentation. The coordinator works under the supervision of brokerage leadership and assists with tasks that support property marketing, client engagement, and brokerage operations.

Requirements

  • 3 years of relevant experience; commercial real estate, administrative, or customer service experience
  • Familiarity with real estate leasing a plus
  • Strong communication and customer service skills (oral & written) to promote positive client/ tenant relationships
  • Advanced level of proficiency in Excel, PowerPoint, and Word

Nice To Haves

  • Real estate license preferred. Company may offer assistance with obtaining license
  • Associates or Bachelor’s degree in Marketing, Business, Communications, or Related field or Progress toward such degree is preferred
  • Interest in commercial real estate brokerage, leasing, or property sales.
  • Experience with research, marketing materials, or data organization.
  • Experience using Microsoft Excel for data tracking or analysis.
  • VTS knowledge

Responsibilities

  • Manage lease documentation lifecycle from Letter of Intent through execution
  • Draft and review Letters of Intent and lease packages
  • Coordinate construction start and track lease commencement in collaboration with Property Management
  • Maintain accurate lease tracking systems (VTS knowledge preferred)
  • Support execution of marketing initiatives (mailers, eblasts, signage, print materials)
  • Maintain and update marketing databases, including mailing lists and floor plans
  • Monitor marketing budget and track expenditures
  • Research, coordinate, and manage participation in industry and charity events
  • Plan and execute tenant events and broker/physician open houses
  • Maintain property listings across platforms (CoStar, LoopNet, Crexi)
  • Generate reports, update market surveys, and track commissions
  • Monitor key performance metrics, including leasing activity and space availability
  • Track and report departmental goals, client interactions, and business development efforts
  • Coordinate team meetings, presentations, and conference participation
  • Support social media announcements and branding initiatives
  • Track licensing requirements for leasing staff
  • Prepare marketing and tour materials; conduct property showings as needed
  • Assist with gathering documentation related to property listings, leasing opportunities, or brokerage transactions.
  • Support preparation of materials for client meetings or property presentations.
  • Help maintain organized digital files related to brokerage activities and property marketing.
  • Assist with special brokerage research or market analysis projects as requested.
  • Observe and learn processes related to commercial real estate brokerage, property marketing, and transaction coordination.
  • Other duties as assigned.
