Requirements

  • Bachelor’s degree in business administration or a related field
  • Proven experience in office administration or branch management, minimum of 3 years
  • Strong leadership and team management skills
  • Excellent organizational and multitasking abilities
  • Proficiency in MS Office and other office management software
  • Familiarity with financial and facilities management principles
  • Exceptional communication and interpersonal skills
  • Knowledge of industry’s legal rules and guidelines
  • In-depth knowledge of diverse business functions and principles (e.g. supply chain, finance, customer service etc.)
  • Working knowledge of data analysis and performance/operation metrics
  • Ability to work under pressure and meet deadlines
  • High attention to detail and problem-solving skills
  • Willingness to continue learning and improving administration skill

Nice To Haves

  • Professional certification in office administration or relevant field is a plus

Responsibilities

  • Oversee daily branch operations and ensure compliance with company policies and procedures.
  • Manage and coordinate administrative staff activities, including scheduling, training, and performance evaluation.
  • Handle customer inquiries, resolve issues, and maintain high levels of customer service.
  • Monitor and order office supplies, equipment, and inventory to maintain proper stock levels.
  • Implement and maintain effective internal controls to safeguard assets and ensure accurate financial reporting.
  • Liaise with the head office and other branches to facilitate communication and streamline operations.
  • Ensure the branch adheres to legal and regulatory requirements, including health and safety standards.
  • Coordinate with HR to assist in recruitment, onboarding, and offboarding processes for branch staff.
  • Oversee facility management, including maintenance, repairs, and security.
  • Develop and implement strategies to drive branch growth and increase profitability.
  • Foster a positive work environment and promote team collaboration.
  • Organize and chair regular staff meetings to discuss goals, progress, and any pertinent issues.
  • Analyze operational data and reports to identify trends and opportunities for process improvements.
  • Serve as the point of contact for external vendors and service providers.
