About The Position

To oversee and manage the administrative functions of the bookkeeping team, ensuring efficient operations, high-quality client service, and adherence to company standards. This role involves supervising administrative staff, coordinating with bookkeeping supervisors, and optimizing administrative processes to support the company's objectives.

Requirements

  • Minimum 3 years of experience in an administrative or supervisory role within bookkeeping or a related field.
  • Bachelor’s degree
  • Strong knowledge of bookkeeping and general accounting principles.
  • Experience with QuickBooks (Desktop and Online preferred).
  • Proficient in Excel and other office software.
  • Excellent time management and organizational skills.
  • Strong communication and interpersonal skills.
  • Experience managing a team and handling client communications.

Nice To Haves

  • Previous experience in a consulting firm or similar environment.
  • Experience with Salesforce or other CRM software.

Responsibilities

  • Oversee the daily activities of the bookkeeping administrative team.
  • Provide leadership, guidance, and support to ensure team members' professional growth and development.
  • Conduct regular performance reviews and provide constructive feedback.
  • Develop and implement efficient administrative processes and procedures.
  • Monitor and optimize workflows to ensure timely completion of administrative tasks.
  • Coordinate with bookkeeping supervisors to align administrative support with bookkeeping operations.
  • Ensure prompt and effective communication with clients regarding administrative matters.
  • Address escalated client issues and work towards satisfactory resolutions.
  • Oversee the preparation, review, and management of client agreements, contracts, and other documents.
  • Ensure accuracy and compliance with company policies and legal requirements.
  • Supervise the setup of signed agreements and prompt processing of payments.
  • Ensure accurate record-keeping and reporting of financial transactions.
  • Manage the internal Bookkeeping Administrative Email and ensure timely responses.
  • Facilitate clear and effective communication within the administrative team and with other departments.
  • Maintain accurate records of client assignments and team activities.
  • Track and report on key performance indicators (KPIs) for the administrative team.
  • Perform all other duties as assigned by Company management to support the overall objectives of the organization.
