About The Position

The Bookkeeper at Cox Petroleum Transport is responsible for managing the company's day-to-day financial transactions, including accounts payable, bank deposits, and maintaining accurate financial records. This role requires attention to detail, strong organizational skills, and the ability to meet deadlines, as the Bookkeeper will process payments, reconcile accounts, and assist in preparing financial reports.

Requirements

  • Minimum of 5 years of bookkeeping experience in a medium-sized business.
  • Proficient in Excel, Outlook, and 10-key by touch.
  • Strong work ethic with a professional attitude and appearance.
  • Highly organized and detail-oriented.
  • Strong critical thinking skills and knowledge of basic accounting principles.
  • Experience with data analysis, documentation, and problem resolution.
  • Familiarity with GAAP and general ledger systems.
  • Effective verbal and written communication skills.
  • Ability to interact professionally with employees and vendors.
  • Excellent organizational and time management skills.
  • Ability to follow standard filing procedures and training instructions.
  • Must pass background and drug screening.

Responsibilities

  • Manage accounts payable, including processing weekly payments via checks, credit cards, and EFTs.
  • Reconcile vendor statements, research discrepancies, and resolve any issues.
  • Maintain and file all financial documentation in an organized manner.
  • Handle electronic cash deposits and miscellaneous cash receipts.
  • Maintain and update financial records, reports, and general ledger accounts.
  • Prepare journal entries, perform account analyses, and assist with the monthly closing process.
  • Manage annual 1099 filings and quarterly sales and use tax filings.
  • Perform monthly balance sheet reconciliations.
  • Respond to financial information requests and assist with audits.
  • Ensure timely completion of all financial processing and reporting tasks.
  • Support the accounting team and assist the Senior Accountant with financial tasks.
  • Review, code, and enter invoices, ensuring accuracy and proper documentation before payment.
  • Prioritize invoices based on payment terms and cash discount opportunities.
  • Process credit card and ACH payments through various platforms.
  • Verify and process payments in the accounting software (Great Plains).
  • Maintain and update vendor records, including 1099s.
  • Assist in the preparation and completion of month-end financial close.
  • Maintain and manage multiple Excel spreadsheets related to financial data.
  • Assist with the preparation and submission of annual and quarterly filings, including licenses and permits.
  • Manage outgoing mail, including postage meter and certified mail.
  • Handle outgoing shipments via Federal Express.
  • Participate in special projects as assigned by the Senior Accountant.
  • Provide backup support for the receptionist desk as needed.
