Position Overview This position plays a key role in ensuring smooth day-to-day operations across finance, customer relationships, and logistics. This hybrid role is ideal for someone who enjoys variety, takes initiative, and excels at keeping both numbers and people organized.

Requirements

  • 2+ years of experience in bookkeeping, accounting, or financial administration.
  • Experience in customer service or operations—food distribution or related industry a plus.
  • Proficiency with QuickBooks (or similar), Excel/Google Sheets, and general office software.
  • Strong communication skills (written and verbal).
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and adapt in a fast-paced environment.

Nice To Haves

  • Knowledge of food distribution, logistics, or inventory systems preferred but not required.

Responsibilities

  • Maintain accurate financial records using QuickBooks
  • Process accounts payable and accounts receivable, including invoicing and payment reconciliation.
  • Monitor customer account balances and follow up on outstanding payments.
  • Prepare weekly and monthly financial reports for management.
  • Assist with budgeting, cost tracking, and inventory-related financial records.
  • Coordinate with the external accountant as needed.
  • Serve as a primary point of contact for customer inquiries, orders, and account questions.
  • Process incoming orders via phone, email, or online systems.
  • Handle product questions, resolve issues, and provide timely, accurate information.
  • Maintain positive and professional relationships with customers, suppliers, and partners.
  • Track customer feedback and report trends to the management team.
  • Coordinate delivery schedules with drivers and warehouse staff.
  • Assist with inventory management, product availability checks, and stock reconciliation.
  • Prepare order sheets, pick lists, and dispatch information.
  • Help streamline operational workflows and identify opportunities for efficiency improvements.
  • Provide general administrative support to the operations team.
