About The Position

The Body Shop Receptionist serves as the first point of contact for customers visiting or calling the dealership’s collision center. This role supports the body shop team by managing customer communication, scheduling appointments, maintaining records, and ensuring a smooth, professional experience from dropoff to delivery.

Requirements

• Proficiency in Microsoft Excel and comfort working with dealership management systems.
• Strong communication skills (verbal and written) and a customer-oriented attitude.
• Proficiency in using CRM software and Microsoft Office Suite (Word, Excel, Outlook).
• Ability to multitask and prioritize in a fast-paced environment.
• Professional appearance and demeanor.

Nice To Haves

• Previous receptionist or customer service experience, preferably in an automotive setting, is a plus.
• Bilingual skills (Spanish/English) are a plus but not required.

Responsibilities

• Greet customers in person and over the phone with a friendly, professional demeanor.
• Schedule repair appointments and coordinate with estimators, technicians, and insurance partners.
• Check customers in and out, ensuring all required documentation is completed accurately.
• Maintain organized records of repair orders, estimates, invoices, and customer files.
• Communicate repair status updates to customers in a timely and clear manner.
• Assist with processing payments and verifying insurance information when needed.
• Support the body shop manager and team with administrative tasks and daily workflow.
• Enter and update data in internal systems; generate reports as requested.
• Handle incoming calls, emails, and walkin inquiries efficiently and professionally.
• Ensure the reception area is clean, welcoming, and wellorganized.
