About The Position

Functions as training Body Shop Estimator, assisting in Estimator duties as well as providing administrative support to body shop when needed.

Requirements

  • High school diploma or general education degree (GED)
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Responsibilities

  • Greet customers in person and by phone, answer questions, and clearly explain repair and estimate services as needed.
  • Schedule estimate appointments and repair appointments, coordinating with estimators to ensure efficient workflow
  • Check customers in by completing required paperwork and connecting them with the appropriate estimator
  • Communicate with insurance companies to assist with claims and repair authorizations
  • Provide timely updates to customers regarding repair status, delays, or changes
  • Process payments, issue invoices, and resolve billing questions or discrepancies as needed.
  • Address customer concerns professionally and work with the team to provide effective solutions
  • Maintain accurate customer records, repair orders, and related documentation
  • Provide administrative support, including filing, managing phone calls, and handling customer communications as needed.
  • Prepares insurance forms to indicate repair cost estimates and recommendations.
  • Helps maintain good working relationships with insurance adjusters.
  • Established and maintains good working relationships with customers to encourage repeat and referral business.
  • Monitors progress and completion of assigned vehicles in the shop, ensuring proper repair procedures are followed.
  • Monitors paper flow to ensure that all documents are accounted for, filled out completely and legibly, and filed or distributed to the appropriate parties.
  • Prepares final billing for completed repair orders as well as copying estimates
  • Completes ICAR training classes as required
  • Assists body shop manager as necessary.
  • Prepares purchase orders for all vendors.
  • Assists body shop employees with completion of personnel forms.
  • Maintains a professional appearance and a neat work area.
