Requirements

  • To successfully secure this position, you must: be a positive, cheerful, mature person with a “smile" in your voice. In addition, you must be reliable, punctual, and professional.
  • Must have phone operator or front desk receptionist experience
  • Good communication skills
  • Professional appearance and demeanor
  • Excel and Microsoft Word experience preferred
  • May require weekend availability
  • Must be able to pass background and drug screening

Nice To Haves

  • Previous Automotive/Dealership experience preferred
  • Excel and Microsoft Word experience preferred
  • Bilingual preferred but not required

Responsibilities

  • Greet visitors - starts the process for writers (educate customers in the process and get forms filled out with customers’ information)
  • Answering calls for the Collision Center, screening, and forwarding incoming phone calls, taking messages, and responding to general inquiries in person, by phone, or email.
  • Ensuring smooth initial interactions and efficient administrative flow, creating a positive first impression.
  • Point of contact for customers on weekly updates if required.
  • Processing payments, handling receipts and coding payments
  • Code all EFTs payments from insurance and add a copy and note customer’s file
  • Open RO for writers
  • Book ROs and or Close ROs when needed
  • Closing out rentals in ARMS
  • Informing Hertz or Enterprise of the return of a rental so they can pick it up from our location
  • Assisting customer notifying Enterprise or Hertz when a customer needs a rental vehicle or the rental is returned to our facility.
  • Provides essential Administrative Support (scheduling, data entry, ordering supplies, maintaining files, and assisting staff with clerical tasks to ensure smooth office operations and a professional first impression)
  • Receives and distributes communications / Handles mail for the Collision Center
  • Schedule drop off and or estimates appointments for writers
  • Schedule new assignments for Allstate Account
  • Maintain electronic calendars for staff
  • Managing office supplies
  • Keeps receivables up to date for the collision center and gives support to accounting by sending a weekly report to ensure payments are posted to the correct account
  • Daily email sent to accounting with deposits information from previous day
  • Make sure all payments are received from the insurance and customers before the vehicle is delivered back to the customer
  • Provide assistance with check request when needed
  • Weekly Update Tesla Web
  • High inbound call volume on multi-line phone system
